AMIDEAST/Lebanon has a part time consultancy position (approximately 25 hours per week) for a Program Associate at the AMIDEAST Entrepreneur Institute (AEI). AEI works with aspiring entrepreneurs to start and grow their businesses in Lebanon. The Program Associate will primarily handle tasks for and support the programs and services of AEI and its diverse projects.
Position Description
The AEI Program Associate would be part of the program team responsible for ensuring AMIDEAST’s successful implementation of all AEI current programs, implemented in Beirut and around Lebanon. The Program Associate will handle various responsibilities, which include:
Assist the Department Manager to ensure that all programs are managed according to the project timeline, deadlines, and budget
Promote programs to reach people and alumni in all areas in Lebanon
Handle the verification, data entry, and filing of applications received
Assist with interview preparations, orientation sessions, and travel arrangements
Notify applicants of application status, program updates, other opportunities, etc.
Participate in public fairs and other department activities
Promote the department programs by ensuring that new programs and events are announced on AMIDEAST’s social media tools and within the office premises
Handle postings on the Institute’s social media platforms
Handle the department’s alumni database and/or other records
Provide friendly customer service and address customer inquiries received via email, phone calls, or visits with accurate and proper information
Reproduce and distribute curriculum for workshops in Beirut and outside Beirut, collect and tally attendance sheets, assist with event planning, scheduling and coordination of activities for Program Manager, and placing vendor requests
Answer telephone calls, assist visitors, and resolve and refer a range of administrative inquiries or problems; prepare, transcribe, compose, type, edit, and distribute agendas, minutes of meetings, event summaries, and other program documents; and compose, prepare, or ensure timely responses to diverse routine written inquires
Communicate and coordinate with trainers and partners to follow up on payments and attendance sheets, and maintain student program enrollment data
Assist facilitators and workshop participants in navigating and using AMIDEAST’s Learning Management System (LMS) and enhance platform usage
Arrange any necessary logistics for workshops; administer surveys and questionnaires with program participants; and serve as an assistant to the trainers or facilitators when requested
Perform administrative duties including paperwork, data-entry, filing etc.
Provide direct front-desk customer assistance in the reception area and welcome callers and visitors to ensure customer satisfaction and awareness of services and programs that they can benefit from
Required Qualifications
Bachelor’s degree in Business, Public Administration, Education, or related field
1-2 years of experience in an administrative role in entrepreneurship, capacity building, or similar field
Excellent organizational, interpersonal, time management, and communication skills
Ability to perform all work assignments with meticulous attention to detail
Ability to take initiative and prioritize responsibilities
Ability to multitask and good time management skills
Excellent computer skills including MS Office; high proficiency in Excel is required
Dedication to AMIDEAST’s mission of expanding opportunities for people in Lebanon
Willingness to travel to workshop sites all over Lebanon
Willingness to work on weekends and nights, as needed
Experience with managing social media platforms preferred
Lebanese citizenship
Fluency in English and Arabic is a must
Available to start work immediately
