Administration Assistant

Post title: Administration Assistant Contract Status: 3 Months     Start date: 15th May 2017 Duty Station: Beirut – Achrafieh                                            Salary: Based on the organization scale (Level 6)   MAIN OBJECTIVE OF POSITION Assists the Personnel Administration Manager in the implementation and follow-up of the HR Administration tasks of the mission, according to MSF protocols, standards and procedures in compliance to local labour and legal provisions ACCOUNTABILITIES Execute administrative related tasks, under supervision of the Personnel Administration Manager. Support the Personnel Administration Manager with the work permit application process for non-Lebanese staff and follow-up with relevant Ministries and official entities according to legal requirements. Support with visa and residency application process with the General Security Office for International staff and follow up on all processes in a timely and systematic manner.  Liaise, process and follow-up on all NSSF registration related matters and paperwork. Support the Personnel Administration Manager in establishing rental contracts with proper follow up system Create a filing system for the HR department ensuring consistency and efficiency Assist the Personnel Administration Manager in consolidation the HR reporting of the mission Act as a back-up to the HR Assistant and Liaison Officer when required Support the Administration Manager in translating documents into local language Assists the Administration Manager in meetings upon request Support in any other administrative related tasks upon request          SKILLS AND QUALIFICATIONS: Education: Desirable, certificate or diploma in Business, Administration, HR Management or similar education Experience: Essential previous working experience of at least two years in relevant jobs - Desirable experience in MSF or other NGOs in developing countries Languages: Arabic and English (advanced, fluent is a must).
