Department   HR department Base   Habboush, Nabatieh district, South Lebanon Under the authority of  Finance / Admin Manager Assignment area Habboush office Working relations Internal -          The Program teams -          The finance Department   External -          Candidates -          Beneficiaries (Hotline)   HISTORY: Solidar Suisse is a non-governmental organization (NGO) whose purpose is to assist disadvantaged, persecuted and oppressed people in Switzerland and abroad with material support and by helping them to help themselves. The institution established in 1936 works for social justice and fights against exclusion and the division of society. Solidar Suisse has been operating in Lebanon since September 2012 implementing programs in Food Security, Non Food Item distribution and emergency response.  ASSIGNMENT The office assistant works under the direct supervision of Finance manager is responsible for administrative matters for the Solidar office in Nabatieh. In addition, the office assistant is responsible for providing assistance to all the support team upon request. RESPONSIBILITIES ADMINISTRATION   Under the responsibility of the admin/Fin Manager is responsible:   Help the finance and administration department particularly in following the documents for finance ministry, NSSF, and Bank, etc Draft/prepare administrative letters Supporting the organization of the office For booking accommodation for all HQ visitors For ensuring/following together with the logistic department to pick up HQ visitors.     HUMAN RESOURCES   Under the responsibility of the admin/Fin Manager is responsible:   Create personal folders for new staff Update personal folder on regular bases & ensure accuracy and completeness of data; Check leaves request forms and update leaves follow up table for staff; Keep tracking all kinds of leaves balance Assist in payroll preparation by providing relevant data, like absences and leaves (attendance follow-up) Supervise and monitor staff time sheets and report to Line Manager; Circulate vacancy announcements for new recruitments Filter received CVs into qualified and unqualified Schedule and attend interviews Create recruitment files Check new employee’s references and collect all information required for contract (ID card, photos, identification information, etc.) Make the contract for all new employees. Follow all contracts of the organization   EXTERNAL COMMUNICATION   Under the responsibility of the admin/Fin Manager is responsible:     Set appointments and meetings for HR interviews Manage communication related to HR issues via e-mail, phone, and calls Follow up the beneficiaries’ hotline and register the complaints Welcome guests/visitors (donors, NGOs, candidates, journalists, suppliers etc.) Update regularly the contact numbers (staff and NGOs…)   OTHER   Daily routine tasks (filing, computerizing & cross checking of data) related to HR issues Undertake any other tasks as requested by the Line Manager specially supporting the program teams on field (distribution, assessments, verifications ….
