Human Resources Associate

OPERATIONAL CONTEXTThe International Human Resources Associate collaborates with the Human Resources Director, by ensuring consistency and uniformity in the implementation of human resources policies and guidelines, by sharing best practices and ultimately by promoting the welfare of JRS staff in the International Office as well as in the 10 regions where JRS has operations. The HR Associate will also play an active role in the recruitment for JRS worldwide in collaboration with the regional HR Officers. With this aim, the Human Resources Associate will assist in the development and implementation of Human Resources policies, will reinforce HR processes, and will offer guidance and HR services to employees in both the International Office and the regions.Reports to: Human Resources Director Key Responsibilities and DeliveriesUnder the supervision of the Human Resources Director, the HR Associate’s main responsibility will be to assist the Human Resources Department with effective delivery of HR services. More specifically: Provide support to staff, managers and regional HR Officers on HR related matters; Actively participate in recruitment and selection activities including formatting, circulation and posting of vacancy announcements, monitoring the receipt of applications, preparation of documentation and logistic arrangements for selection panels; Coordinate staff on-boarding activities including liaising with departments and following up on activities; Assist with personnel administration by assembling and preparing necessary documentation, including the preparation of contracts for temporary staff and internships; In collaboration with regional HR Officers, keep staff figures up to date and produce human resources-related statistics; Act as a focal point for the regions including responding to queries, follow up on information related to contracts, recruitment, security and safety and HR matters; Assist with monthly payroll related activities and liaise with our external Italian labour agency; Provide administrative support to staff development programmes including registering training needs, organizing trainings, administering and maintaining the budget and preparing reports and statistical analyses; Provide administrative support to the performance management process including initiating, tracking and monitoring of the various stages of the process; Assist in the drafting and review of internal policies and guidelines; Keep human resources files up to date with accurate information; Prepare routine correspondence, documentation, reports and presentations; Provide support to special projects and activities including conducting information search as requested. QUALIFICATIONSEducation and Experience University degree in Human Resources or related field (organizational development; business administration, etc.) or a specific training, qualification or certification in human resources management; At least 3 years of professional experience in a not-for-profit and/or international organization; Good knowledge and experience in employment law, compensation, benefits administration, employee relations, security and safety, staff training and development; Previous experience with a faith-based NGO is a significant asset; Good understanding of and commitment to humanitarian relief work and international development; High degree of discretion, tact and confidentiality in dealing with internal and external clients and stakeholders at all levels; Ability to work independently with minimal supervision; Excellent interpersonal, listening and communication skills; Good computer skills, including competence in Excel and familiarity with other databases; Good organizational skills and ability to perform multifaceted tasks in addition to day-to-day activities; Good analytical skills and sound judgement; Successful experience in multicultural and challenging environments. LanguagesExcellent written and verbal communication skills in English are required; a second professional working knowledge of French is strongly preferred; professional Italian and/or Spanish is helpful.
