Reporting Officer For Disaster Management Unit

Main Role Provide timely, high quality reports for internal and external stakeholders regarding the achievements of the Disaster Management Unit. Improve reporting systems through the development of standard procedures and tools to ensure reliable and timely reporting. Provide training for staff and volunteers on reporting requirements, skills and tools. Monitor and review external sources of information, in order to ensure that reports contain accurate, up-to-date information about the context and humanitarian situation in Lebanon.   Essential Responsibilities and Duties Operational Roles and Responsibilities: Reporting: Take responsibility for filing all key project agreements and reports. Ensure that the reporting tracking table is up-to-date, and includes all the deadlines and other required information to be provided by the Disaster Management Unit (DMU) to its partners and donors. Ensure a timely and accurate internal and external reporting system is put in place and disseminated in coordination with the program managers, including coordination and follow-up with the program staff responsible for online reporting. Compile and submit accurate and timely internal reports (monthly, quarterly, annually according to need) for direct supervisor. Create and submit monthly dashboards related to program achievements and DMU accomplishments. The dashboards should not limited to monthly activities, but should be designed also for quarterly, mid-term, and end-of year reports. Support DMU Program Teams to produce high quality external project/program reports, including with spot checking and validation of information to ensure accuracy.   Support program teams, as needed, with the adaption of specific reporting tools for consistent and quality reporting, coherent with the reporting guidelines agreed on by the DMU PMER team. Undertake occasional field visits to DMU branches to monitor the capacity of the reporting officers at branch level, as well as to support branches with reporting tools and skills. Develop and manage a filing system for important documents and reports from field activities, including assessments, beneficiary lists, distribution reports, monitoring reports and pictures from all branches.   Research and monitoring: In collaboration with the Monitoring & Evaluation (M&E) Officer, establish an inventory of reliable internal and external sources for data and informationrelated to the context and humanitarian situation in Lebanon and the MENA region. Co-ordinate with the M&E Officer regarding use and sharing of updates collected during meetings with NGOs, the UN and other international and local organizations to maximize the coordination of data collection and efficient use of time and resources, and to reduce data collection duplication. In coordination with the IT Officer as well as Program and Branch teams, develop and manage a database that reflects the geographic spread and scale of the work of the DMU. Attend coordination meetings and trainings with UN and other organizations in order to obtain updates related to the online reporting databases, and share them with the related Lebanese Red Cross staff. Recommend and prioritize trainings that will benefit DMU staff with regards to reporting.
