Coa Refugee Facilitator / Administrative Programme Support Assistant

Under the overall supervision of the Head of IOM Office in Lebanon, the direct reporting to the Canadian Orientation Abroad (COA) Lebanon Coordinator/Facilitator, and the  managerial responsibility  of the COA Global Program Manager, the incumbent will be responsible for the following functions: Training: Participate in on-the-job training in order to become a permanent COA Refugee Facilitator; Prepare and deliver pre-departure orientation (COA) training sessions for Canada-bound adult refugees in Lebanon and throughout the region (whenever mobile sessions are required); Prepare and deliver pre-departure orientation (COA) training sessions for Canada-bound youth refugees in Lebanon and throughout the region (whenever mobile sessions are required); Keep abreast of all information about Canada and its immigration process through websites and in collaboration with the COA Lebanon Coordinator-Facilitator and the Global Program Manager; Be familiar with COA’s curricula:  COA Adult Refugee Curriculum and COA Youth Refugee Curriculum; Be familiar with the COA Adult Refugee Training Activity Toolbox content and the upcoming COA Youth Refugee Training Activity Toolbox content;   Program Support Assistant: Assist COA Coordinator/Facilitator in overseeing the scheduling of COA sessions in Lebanon; Assist COA Coordinator/Facilitator in the management of COA referrals and registration, collection of UCI numbers,  and provide response to general inquiries about the COA registration process of training sessions; Assist Coordinator/ Facilitator in preparing quarterly training schedules; Assist Coordinator/ Facilitator in the logistical arrangements of training sessions (preparation of training area (at IOM premises, Masna’a Border Post, IOM OPS Centre, and/or in hotels), coordination of COA participants’ lists with IOM Security, coordination with IOM Procurement/Logistics for the ordering of meals and purchase of snacks, preparation of transportation reimbursement sheets, submission of invoices to Admin/Finance, etc.); Assist Coordinator/Facilitator in the coordination with IOM Admin/Finance regarding the procurement of small bills for the participants’ transportation reimbursement (in advance of each refugee session), in exact amounts, and distributed at a specific time at the end of each day or each session; Assist COA Coordinator/Facilitator in the updating of the training presentations, as required; Assist Coordinator/Facilitator in the maintenance of an inventory of COA visibility products; Assist Coordinator/Facilitator in the ordering of COA materials from COA Manila (COA pens, notebooks, certificates, red bags, and other printed documents); Oversee photocopying/reproduction of training materials; Assist Coordinator/Facilitator with the translation of documents and activities into Arabic; Keep track of COA requisitions for equipment/printing/dry food, office supplies, as well as shipment of materials to and from COA Lebanon (in print or in a computer folder). Assist Coordinator/Facilitator in the management of the  COA petty cash fund (if any) in Lebanon, including its regular liquidation and replenishment; Collect, check, review and print attendance sheets and statistical summaries from COA Lebanon; Maintain and update all session statistics from COA in Lebanon, forward to the COA Global Program Manager monthly, quarterly and annually and upload to the shared files on  COAStatistics@iom.int (in Manila); Assist Coordinator/trainer in uploading and validating all information onto the iCARE and DBMS and other databases used by the COA program; Using a Microsoft Publisher tool, prepare COA certificates for COA participants from Lebanon; Perform other administrative functions as may be required.

• University degree from an accredited educational institution, in Business Administration, Finance and/or a related major with three years of working experience, or High school diploma with five years of relevant working experience
• Experience working in cross-cultural settings.
• Ability to maintain statistics and write financial reports according to IOM standards and COA WBS coding.
• Mature individual able to be punctual at all times, who pays attention to details and who submits timely reports as required.
• Effective communicator, creative analytical thinker, active learner and strong team player.
• Excellent computers skills in all Microsoft products: Excel, PowerPoint, Publisher, Outlook and knowledge of social media tools.
• Previous experience in the UN System.
