Project Assistant

Overview of FR and the Project Frontiers Rights Ruwad Houkouk (FR) is a non-profit and apolitical NGO that aims at enhancing the human rights of marginalized groups in Lebanon. Its main programs focus on forced migration and statelessness. FR is seeking a Project Assistant to assist in the implementation and administration of the project "Prevention of Statelessness in Lebanon". The Project Assistant will work closely with the Project Manager and Director.   Profile of the candidate An incumbent in this position should be someone aspiring to become a Project Manager, interested in the human rights field, enthusiastic, highly motivated individual who can work autonomously and as part of a team, punctual, organized, experienced in managing small and medium projects and staff, having excellent oral and written communication skills in Arabic and English. The incumbent in this position will need to deliver effective, highly competent project support, assisting the director, project manager, and departments heads with special projects, reports or other assignments, performing a variety of administrative support and analysis functions which involve an in depth knowledge of a wide range of the policies, procedures and technical work processes. Projects Assistant is distinguished from Administrative Assistant in that the Projects Assistant will work for all the project components and is expected to, as directed, assist the department head in completion of a variety of special and/or technical projects, reports and other related duties, while executing administrative and office support functions expected of an Administrative Assistant.    Major Duties and Responsibilities Project related: Assist in planning project activities and events and provide logistical support.  Keep records of all information related to project for documentation, clarification and presentation to management. Collect data, sort, file and send out project files to the right personnel, workers, and stakeholders Provide input on creation of office operational policies and procedures; ensure that all new staff and volunteers are provided with copies of the office policies manual and training manual.   Administrative assistance tasks: Manage and coordinate the daily calendar of the Director and project team members. Keep track of all activities, and ensure deadlines are met by all project teams. Make arrangements for meetings, presentations, seminars and trainings being organized and call the attention to them where and when they are needed. Attend meetings as required and submit detailed notes thereof. Write letters and send them to appropriate bodies, and receive incoming mails Keep track of contract deadlines, and assist in financial operations, purchasing, accounting and office supplies Translate short documents and reports from Arabic to English and from Arabic to English.     Desired Minimum Qualifications: Bachelor in Management, Administration, Business or a related academic field, or equivalent. 1 to 3 years of work experience in the project management field. Excellent computer skills Proficiency in English and Arabic; French will be an asset   Excellent organizational skills Excellent oral and written communication skills and strong personality.  Translation experience from Arabic to English and from Arabic to English. Skills Ability to: Plan and manage the office tasks and agendas; Prepare clear, accurate and concise reports, records and other materials; Communicate clearly and concisely, orally and in writing; Operate a computer using word processing, database and spreadsheet software; Collect, evaluate and interpret varied information and data; Interpret, apply, explain and reach sound decisions in accordance with regulations, policies and procedures; Coordinate multiple assignments and meet critical deadlines; Organize, set priorities, take initiative and exercise sound independent judgment within areas of responsibility; Organize and file documents, both electronically and physically;   Type accurately at a speed necessary to meet the requirements of the position; Compose correspondence from brief instructions; Translate short documents from Arabic into English and from Emglish into Arabic; Understand and follow written and oral instructions; Establish and maintain effective working relationships with City managers, staff and others encountered in the course of work.
