Operations Clerk

Working under the overall directives of the Chief of Mission and the direct supervision of the Head of the Operations unit, the incumbent will perform the following activities; 1. Provide operational assistance to the Operations department unit in carrying out exit and resettlement services in relation to form filling and Document Integrity & Verification as follows: To fill up all documents required for the exit permit with the General Security department. As per SOP’s and established procedures, complete Canadian warrant and all the forms that are required from the respective recipient countries prior departure of the refugees. Compilation of reports on related data. Arrange schedule with Cultural Orientation and Medical department. Maintenance of Proper & systematic filing systems Flag discrepancies and concerns related to verification requests Prepare all Purchase request and Payment request for all activities taking place within the Operations department. 2. Assist Refugees including Distribution of application forms, information sheets and checklists. Handle related telephone and email inquiries Receipt and dispatch of verifiable documents Assign reference numbers through Administration department. Handle post verification inquires 3. Maintenance of proper filing systems to ensure records are properly maintained and updated in accordance with an existing framework of confidentiality and for easy retrieval. 4. Assist in compiling periodic and ad hoc reports related to movements and departures. 5. Assist in other operational activities carried out by the unit when and where required 6. Perform any other duty as stipulated by the supervisor.

a) High school diploma or equivalent
b) Three years experience related to international relations, consular and immigration; or an equivalent combination of Education, Training & Experience; preferably within the International Humanitarian Organizations.
c) Strong interpersonal & intercultural skills;
d) Familiar with MS- office and other related office software – especially related to document scanning / e-filing etc.
f) Ability to take up responsibilities and work with minimum supervision
g) Demonstrated ability to maintain confidentiality in performing duties is mandatory
h) Ability to work under stressful conditions and handle heavy workloads, work through flexible hours and meet tight deadlines is mandatory
