Admin Assistant

IWPR is looking to recruit a qualified administrative person to provide admin and clerical support to the IWPR team in all aspects of implementing its projects.   Duties and Responsibilities:   Scanning office financial documents on a monthly basis and other office work as per instructions. Maintaining proper filing for all finance/admin files in soft and hard copies (rent, services, partner's contracts, copies of vouchers, tender documents...) Maintain inventory of office equipment and supplies Arrange for the repair and maintenance of office equipment Assist in the procurement of office supplies, stationary and other items as per instructions Payment of invoices to vendors/suppliers on time and communicate any payments Assist in organizing internal and external events, conferences and seminars (reservation, catering, hotel reservation, airplanes tickets…)when needed Receive/forward/file correspondence, reply to mails and letters, as per instructions Perform other duties as required   Experience, Skills and Abilities Minimum one year experience in an administrative role. Strong interpersonal and communication skills in order to liaise with a wide range of contacts internally and externally at different levels. Ability to work creatively and solve problems within a clearly defined procedural framework. Good written communication skills Good IT skills Ability to work sensitively with confidential information. Ability to plan and prioritize work, including monitoring key tasks and meeting strict deadlines, and adapting to unexpected developments. Initiative and a willingness to contribute wherever possible to team activities and development. A proactive and reliable approach to work. Integrity, patience, resilience and professionalism in often pressured and sensitive situations, and where dynamics are constantly changing and unpredictable. Flexibility over hours of work as and when required
