Information Management Officer (It)

General duties and responsibilities   Co-ordinates, supervise and manages all activities of the Information Management Unit within the UNHCR protection programme implemented by INTERSOS in Bekaa. Ensures the correct supervision and management of the Information management team (data clerk team).     Main duties and responsibilities as Information Management Officer   A: Technical Management: Receives and processes daily and/or weekly reports from the following project personnel: senior social workers (Community Services unit) community mobilizers (Community Services unit) caseworkers (Case Management unit) protection monitors (Protection Monitoring unit) HP team (WaSH) On the basis of then reporting input, processes weekly and monthly reports for the Protection Officers (Case Management & Protection Monitoring) and the Project Manager Follows up with field teams and Protection Officers on risk levels and information identified from weekly protection monitoring reports as provided by protection monitors and case workers Reviews and updates regularly the reporting and assessment formats used by INTERSOS field teams Conducts regular meetings with the field teams on changes in the formats and roles and on how to fill in the assessments and reports, daily-weekly, and on what to stress in order to obtain useful and correct information. Manages training for the field teams in order to meet expectations (excel, info collection methodology, how to fill/use forms, linked to gaps identified following report analysis and processing) Conducts monitoring visits in the field: attendance, test forms in practice and correct/coach on job for team on the use and filling of forms. etc. Develops new databases upon requested and according to needs and creates and modifies new data analysis tools Harmonizes existing database formats with changes/reviews to assessment and reporting forms Provides all relevant data and information, generated from INTERSOS databases, to the teams whenever they have to conduct a Focus Group Discussion (FGD) and awareness session or in case of donor/stakeholder visit Assists the Project Manager and Protection Officers with different background input and information upon request being extracted from existing INTERSOS databases. Assists and retrieves the information needed from INTERSOS databases to prepare the monthly Activity Info for the technical experts (Protection Monitoring, Case Management, Community Services & WASH) to insert in the system In coordination with the team and on the basis of the given budget and the financial plan, ensures with support by the Project Manager and the project administration the weekly expenditures planning for the Information Management unit Regularly maintains and checks up the existing and new IT equipment of the project teams     Main forms for UNHCR to be filled in on a daily or weekly base: Needs Assessment forms  Eviction Assessment forms Social Assessment forms Health Matric FGD reports PM complain reports Multi sectoral rapid assessment HH level assessment Vulnerability assessment Form hub report > replaced by PRISM (online system) UN online systems to be used: PRISM RAIS Activity Info Forms for INTERSOS to be filled in: Monthly protection monitoring report and analysis of risk typologies Center beneficiaries (table) Hygiene promotion sessions report     B: HR management: Manages and supervises the Information Management team (Data Clerk team) by considering priorities and deadlines. Being in charge of administrative and logistics aspects – with support by project administration and logistics - linked to the management of the Information Management unit Provides training and capacity building for the Information Management team. Participate in the recruitment of project staff for the Information Management unit in case of vacancies and provide objective feedback with regards to staff performance (evaluate performance and delivery against job descriptions), expectations and areas for growth and professional development.   C: Coordination & Representation: Develop and maintain effective working relationship with main stakeholders including partner agencies, community leaders and service providers when it comes to information management Contribute to the maintenance of an up-to-date service mapping of the service providers operating in the area and take proactive steps to remain informed about the available services. Proactively participate in relevant internal and external meetings at regional and district level.   D: Program Development Contribute to the development of activities in relation to protection and other protection-related activities.     Any change to the proposed activities should be discussed with the INTERSOS Office.   A high degree of flexibility on the part of all staff is expected in order to respond to the ever-evolving situation.
