Driver / Admin Support Assistant

Accountabilities, responsibilities and main duties: (including people management and finance)                                                                          Driving for Director and as available to other staff and official visitors, arrange bank trips when required, Meeting and/or arranging transportations for visitors to workshops and to/from Beirut airport. ·         To make sure that all visitors are met punctually. ·         To make sure that all passengers delivered safely, comfortably and punctually. ·         To make sure that all office transportations are booked and followed-up when necessary.   Other Transportation Services: ·         To ensure that Transportation diary is always up-to-date ·         To ensure delivery and collection of British Council stuff .e.g (equipment , furniture, promotional material, etc.) from/to Office, workshops venue, British Embassy, storage and other supplier venue. ·         To ensure efficiency in delivery and collection of all British Council payments (cash & Cheques), Receipts  and Invoices due to the Council.   Maintenance of vehicle log book and petty cash float. ·         To make sure that log book always up-to-date and accurate. ·         To maintain vehicle petty cash float. ·         To ensure office vehicle is always clean and routine maintenance is followed according to standards. ·         To ensure no breakdowns due to lack/absence of basic routine maintenance. ·         To ensure director and Line Manager promptly informed of need for servicing or checking of vehicle at least two days in advance     Basic administrative support to Directorate ·         Processing on collecting, filling and register on system all phone, electricity and all other bills related to the premises. ·         Clerical support with photocopying, scaning and other admin support to facilitate delivering seminars. ·         Ensuring that first aid boxes are checked and updated at least twice a month ·         Arrange monthy and yearly payment of National Social Security Fund under Business Support Services supervising. ·         Give all support needed to Business Support Services Supervisor in arranging transportations for all office staff and visitors including helping new non lebanese appointed staff in finding flat upon arrival to country. ·         Other duties as may be specified in the job plan related to the provision of administrative support ·         Act as Vendor Co-ordinator (Creating and collecting vendor & bank details forms, check to ensure accurency of details and signature)
