Head Of Center

Objectives and responsibilities: Manage the center’s operations and activities, while respecting the frame of action (strategy, culture, management systems and budgets), and using the franchises tool boxes (procedures, templates and management systems) Perform the daily administrative and budgetary procedures (bookings, price, billing, collection, customer card, collection notes, purchasing, maintenance of premises and equipment) Classify or check the simple administrative documents (invoices, bills, purchase orders) Monitor the implementation of the budget and performance indicators tools and take specifics measures accordingly Communicate the budget and performance indicators tools to all key people in the center Determine the activities forecasts and transmit them to the relevant services (floors, kitchen, and housekeeping) Ensure a link with the other arcenciel programs (especially youth, environment and agriculture) and guarantee the support of the departments to the various activities of the center Inscribe the center in its network Identify and work with the community resources (municipality, school, other NGOs, etc.) Inform the relevant community institutions on the center's activities Participate in the promotion of arcenciel’s hostels network and of arcenciel in general Explore local farmers, local food distributors, so they become key suppliers for meal preparation in the hostels. Ensure the quality of the center's services Ensure the hotel correspondence and handle telephone calls (information on room rentals, bookings, rates, additional services ...)  Carry out reservations and room occupancy planning Perform an inventory on arrival and departure of customers Carry out quality reports and submit them to the heads of programs. Ensure that all arcenciel’s procedures have been properly implemented and are applied (in terms of human resources, transportation, accounting, security procedures, etc.) Ensure the reception, identification and referral of clients during the period of their stay, from arrival to departure. Consider customer critics and find adequate solutions Ensure security in the premises (presence of fire extinguishers in the building, etc.) and compliance with safety instructions (by both volunteers and users) Ensure buildings cleanliness high standards and maintenance equipment supply by listing the needs and purchasing the relevant products or materials (safety, hygiene, appearance, and functionality). Check the cleanliness of the rooms and common areas (hallways, stairs ...) and maintenance of facilities and furniture. Ensure the proper use of energy and work on waste reduction Managing the center’s team Participate to the recruitment and integration of one’s team Monitor each and every center’s volunteer in their responsibilities. Ensure the administration and management of the center’s volunteers (working conditions, absence, leave, insurance, etc.) Identify ongoing needs for the center’s staff training and submit recruitment and training applications (ecology, sustainable development ...) to the Human Resources Department   Knowledge and Interets: Knowledge of accounting and financial tools Knowledge of the hotel business and catering sectors  Skills: Leadership Management Discipline Hospitality Active listening Flexibility and Commitment Autonomy Teamwork Ability to manage conflicts Effective organizational attitude and method   Computer Literacy: MS Office
