Admin/hr & Liaison Officer

The Admin & Liaison Officer is responsible for managing administrative functions for the IRC Lebanon; especially HR department including but not limited to Liaison, Registration, Residency and Governmental Relations. The Admin & Liaison Officer reports directly to the HR lead (HR coordinator) for Lebanon Country Program. Specific Responsibilities Liaisons & Governmental Relations Develop and Maintain strong follow up system with Government Departments and Ministries for IRC applications and documents. Submit and follow-up on residency applications, visas, and work permits for IRC staff. Liaison with the law firm related to all legal matters under the direct supervision of the HR lead Develop and regularly update tracking sheet for residencies and visas of IRC staff to make sure they are renewed on a timely base. Research, prepare and follow-up on other Lebanese governmental applications and official processes, as necessary. Support and maintain communication with other IRC offices in the region. Inform and collect information of any changes that may have an impact on the organization. Administrative Responsibilities Be a focal point for all arrangements related to office supplies and archiving, Procuring and provision of office supplies and stationary for the HR department Be focal person for all payments related to HR department Be a focal point for the National Social Security Funds and Income tax processes. Assist in reviewing and submission of NSSF and income tax declaration and reconciliations forms. Assist in training organization in close collaboration with the relevant departments. Assist in Filling and Archiving personnel files and guarantees that they are administered with appropriate quality. Others: Maintain open and professional relations with team members, promoting a strong team spirit Any other task assigned by the direct supervisor All IRC staff members are required to adhere to THE IRC Way Standards for Professional Conduct and the IRC country employment policies. Key Working Relationships: Position Reports to:  Human Resources Lead (HR Coordinator) Position directly supervises:  N/A Indirect Reporting: All HR department Staff Other Internal and/or external contacts: Internal: All IRC staff External:  Ministries; administration; General Security; NSSF; Income tax; etc.. Job Requirements Minimum of 2 years professional experience in Liaison/Administration. Good organizational, diplomatic and reporting skills INGO experience preferred. Fluency in Arabic and English. Strong sense of personal integrity. Additional qualities: ability to multitask, ability to handle pressure well, ability to improvise, flexibility, cultural and environmental sensitivity.
