ROLE PURPOSE:
The Operations Assistant is responsible for providing support to the Logistics, Awards (Grant Management) and Operations teams within the wider Operations Department. Through this work, he/she will contribute to the effective implementation of programmes within the Save the Children Lebanon country programme.
KEY AREAS OF ACCOUNTABILITY:
General:
To provide administrative support for Save the Children projects during the implementation of the projects.
Assist in the scheduling, set up of the agenda, administration of the meeting, taking of minutes and follow up of Operations meetings with other departments within Save the Children Lebanon. This would include the ESMT, Proposal Development Workshops, Grant Opening Meeting, Logistics Meetings/Training or other
Maintain files, procurement documents, server and records in paper and/or electronic format for the wider Operations Department, including Logistics and Awards Management.
Participate and collaborate in the organization of programme activities and events, mainly workshops and field visits.
Carry out additional tasks upon decision by Operations team management within the limits of the character of the post.
Logistics:
Prepare Procurement documents for invoice authorizations, including obtaining approval of procurement file checklist by Logistics Manager and getting approval from relevant Budget Holders.
Work with finance to submit payments and follow up on the payment status.
Carry out full procurement process for items <$1000 not covered by Framework Agreements.
Get quotations for procurement of items $1,001-10,000 not covered by Framework Agreements.
Ensure a strict adherence to the principles of Child Protection at all times, including respect for confidentiality and child centered approach, acts in the best interests of the child.
QUALIFICATIONS AND EXPERIENCE AND ATTRIBUTES
Essential
Ability to manage time, stay organized, and track his/her own work
Fluency in written and spoken English and Arabic
Highly computer literate, particularly with Excel
Strong sense of integrity
Proactive and flexible problem-solver
Ability to work independently under minimum supervision
