The Administrative Assistant works under the supervision of the INTERSOS COUNTRY ADMIN FINANCE OFFICER and is responsible for ensuring effective, efficient and accurate financial operations and application of administrative procedures. INTERSOS is looking for a dynamic person, eager to learn and to develop him/herself.
TASKS/DUTIES:
1) Perform day to day financial transactions to ensure an up-to-date, accurate and documented finances:
- Receive and verify purchase requests, invoices and payment requests for office and project purchases
- Check compliance with internal and donor procedures
- Process payments per approved liquidity plans and verify transactions on compliance with financial procedures
- Encoding/registration of payments for data entry in INTERSOS accountancy
- Process backup reports after data entry
- Present daily and monthly cash declarations
- Liaison with the bank
2) Assist in preparing the monthly payroll for salaries, in order to ensure staff are paid in an accurate and timely manner:
- Support the establishment and maintaining of confidential employee files
- Assist in the verification of amounts, working hours, holidays and leave days, etc.
3) Provide administrative support in order to ensure effective and efficient office operations
- Support logisticians in maintaining complete and up to date inventory files
- Monitor and order office supplies
- Maintain a tight and clear archiving system for all financial and administrative documents
- Support program staff and logisticians in the preparation of purchase requests
- Ensure the confidentiality and security of all financial and employee files
- Support Country Admin Finance Officer in budgeting, reporting and pre-audit preparations
4) Perform other related duties as required
Qualifications, skills and traits:
- Demonstrated excellent computer literacy (Excel, word, e-mail)
- Good command of spoken and written English
- Arabic native speaker
- Excellent communication and organization
