Pharmacy And Audit Field Officer

General objective   Under the direct supervision of the Pharmacy Advisor and the Health project manager, the Pharmacy and audit field officer is responsible for ensuring an efficient daily management and support to the pharmacy in the health facilities supported, respecting the medical procedures and the procedures of referral system established in the framework of the project, as well as PU-AMI overall principles, in order to provide quality health services to Syrian refugees.   Responsibilities and tasks         1- Audit: Monitoring the correct implementation of the referral system -             Lead the dissemination of the information on the referral system and its procedures to the health facilities -            Monitor the activities of the partner's health structures  (data collection / invoices / use of the funds allocated / staff attendance / opening hours of the facilities) on the field -            Collect all the data concerning the referral system and procedures -             Lead health-related assessments of the beneficiaries’ needs -             Conduct surveys using specific formats -             Lead the implementation of the project impact surveys.   Monitoring & Guidance -          Monitor the works on a daily basis and provide technical guidance to all PHC Staff   Logistic & administration -      Contribute to the logistics and financial planning of daily intervention schedules -     Ensure the follow-up and the proper use of materials and tools used during on site works   Reporting & Follow up -          Be a major contributor to work related reports and review before submission. -          Contribute to the analysis of collected data, and provide feedback to the Health Project Manager -          Report orally on the progress of evaluation activities on a daily and weekly basis -          Report immediately any delay, problem or other relevant information to the Health Project Manager         2- Pharmacy: Support and monitor the pharmaceutical management of the supported primary healthcare centers (PHC)-: -      Conduct field visits for specific monitoring and evaluation issues -       Ensure that drugs are provided in accordance with the prices agreed upon by PU-AMI (according to the suppliers and the MoH) -       Ensure that the drugs are bought following PU-AMI’s procedures, including quality assurance criteria -       Ensure a proper stock management control: manage inventory, re-stocking (inventory, opening stock, buffer stock, stock on hand, etc.) -       Ensure an accurate follow-up of medication consumption -       Help maintaining reasonable stock levels at the dispensaries -       Maintain proper drug storage in PHC stock -       Monitor the distribution of prescribed medications through written prescriptions -       Directly supervise the drug consumption data collection -       Provide technical support for the implementation and management of the pharmacy activities implemented in the new PHCs -       Propose ways to update existing pharmacy data tools and procedures in collaboration with the Pharmacy Advisor -       Report the needs of the beneficiaries in terms of access to medications   Capacity building: -       Provide technical support during trainings -       Prepare background material on pharmacy related issues for use in discussions and briefing sessions -       Respond to phone and face to face enquiries from supported facilities and pharmacy focal points   Reporting & Data collection -          In collaboration with the pharmacy Advisor, ensure direct supervision of pharmacy data collection and reporting system implemented in the health facilities -          Prepare status and progress reports, prepare tables and draft routine correspondence -          Participate in writing all required medical pharmacy reports (PU-AMI, donors, partners, etc.) -          In charge of filing and archiving. The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the project needs.   QUALIFICATIONS Mandatory requirements Language Skills: Fluent in English and Arabic Education Degree: Pharmacy degree Work experience: Minimum experience of 1 year working in a community or retail pharmacy. Proven experience with NGOs.  Computer Skills: Excellent knowledge of the MS office software including Word, Excel and Outlook.   Other requirements -          Valid driving license (2 years minimum) -          Knowledge of the project cycle management and logical framework -          Knowledge in drug management -          Ability to report activities’ indicators -          Management and pedagogical skills -          Good knowledge of Saida district’ geography, willing to travel locally -          Literacy in reporting   Assets Interest: Work in relief, interest for social issues  Transversal skills -          Excellent communication, conflict solving and diplomacy skills to manage relationship in potentially tense situations -          Strong motivation to help people in need -          Understanding of the political situation in the area -          Ability to analyze and suggest improvements of the activities -          Ability to adapt or change priorities according to the changing situation within a mission or the organization itself -          Well organized and hard worker -          Able to manage stress and pressure -          Able to check information, logical -          Neutral
