Sub-Award Officer

Save the Children currently implements programs in Child Protection, Education, CRC, Health and Nutrition, Food Security & Livelihood, Shelter, and Emergency Response throughout Lebanon. Save the Children is seeking qualified candidates to fulfill the following positions, for its Lebanon Country Office, in the following locations Beirut, Tripoli, Akkar and Bekaa:     ROLE PURPOSE: Save the Children’s Partnership Programme is expanding. In order to enable this expansion, additional support is needed to effectively manage all sub-awards agreements. The post of Sub-awards Officer – Partnership Programme was thus created to support: The development of sub-award agreements Effective sub-award management during the implementation phase Sub-award reporting processes - including the close out of sub-award agreements. KEY AREAS OF ACCOUNTABILITY:   Sub-award agreements To assist the Partnership Coordinators with finalising partner proposals – narrative and budget To prepare sub-award agreements in coordination with Partnership Coordinators and Finance To ensure all sub-award agreements are reviewed and signed off by all relevant members of the Syria Partnership Programme To ensure original copies of sub-award agreements are signed by the Country Director and Partner focal point To archive all sub-award agreement documentation in accordance with audit requirements   Sub-award management To assist the Awards Coordinator with ensuring new sub-award agreements are properly registered and updated on AMS and hard copy documentation is archived in accordance with audit requirements To support the preparation of all sub-award kick-off meetings and close out meetings in coordination with the Awards Coordinator, Partnership Coordinators and Finance To ensure issues with sub-award grant management are addressed promptly and effectively; e.g. delays in project implementation, delays to reporting or payment schedule, etc. To prepare all sub-award amendments in coordination with the Partnership Coordinators To support Finance with preparing alternative financial verification documentation and market checks for procurement To ensure the proper closeout of all sub-awards in coordination with the Awards Coordinator, Partnership Coordinators and Finance   Sub-award reporting To develop and maintain a reporting schedule for all sub-award agreements To assist the Partnership Coordinators with finalising partner reports; annexes D1 and D3 To assist the Finance with finalising partner financial reports; annex D2 To ensure partner narrative and financial reports have been reviewed and cross referenced by the Partnership Coordinators and Finance To archive all sub-award reports in accordance with audit requirements To support the Partnership Coordinators with maintaining an overall Beneficiary Output Tracker for all partners QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES   Essential Experience of grant management, proposal development, budgeting and reporting to donors Experience with NGOs and knowledge of the international humanitarian system Good attention to detail and analytical skills Excellent English writing skills Computer literate (i.e. WORD, advanced Excel, Outlook, Internet Explorer, financial systems) Cultural awareness and ability to build relationships quickly with a wide variety of people Patient, adaptable, flexible, able to improvise and remain responsive and communicate clearly and effectively under pressure Excellent planning, management and coordination skills, with the ability to organise a workload comprised of varying and changing tasks and responsibilities Strong communication (written and spoken), and interpersonal skills with experience in working with multicultural teams   Desirable Experience in working with Save the Children Knowledge of grant management systems and accounting software Arabic speaker AND BEHAVIOURS (our Values in Practice) Accountability: Holds self accountable for making decisions, managing resources efficiently, achieving results together with children and role modelling Save the Children values Holds the team and partners accountable to deliver on their responsibilities – giving them the freedom to deliver in the best way they see fit, providing the necessary development to improve performance and applying appropriate consequences when results are not achieved Creates a managerial environment in-country to lead, enable and maintain our culture of child safeguarding freedom to deliver in the best way they see fit, providing the necessary development to improve performance and applying appropriate consequences when results are not achieved Creates a managerial environment in-country to lead, enable and maintain our culture of child safeguarding Ambition: Sets ambitious and challenging goals for self and team, takes responsibility for own personal development and encourages team to do the same Widely shares personal vision for Save the Children, engages and motivates others Future oriented, thinks strategically and on a global scale Collaboration: Builds and maintains effective relationships, with own team, colleagues, members, donors and partners Values diversity, sees it as a source of competitive strength Approachable, good listener, easy to talk to Creativity: Develops and encourages new and innovative solutions Willing to take disciplined risks Integrity: Honest, encourages openness and transparency Always acts in the best interests of children   APPLICATION PROCESS   Please note that the closing date for applications is: For External applicants on May 24th .                  The selection committee will review all applications as they are received.
