Executive Assistant To Rmf General Manager

General responsibilities:   Manage the General Manager calendar, including internal and external meetings, field and international travel; Manage the General Manager’s correspondence, including email inbox, prioritizing issues, sharing information and responding to routine requests; Consult and prepare meeting agendas/workshop programs and make arrangements for meetings and workshops; Maintain accurate records of discussions and agreed actions at workshops and meetings, whether internal or external; Conduct research, compile data, and prepare documents as requested; Maintain organized and accessible filing systems, virtual and/or physical as appropriate; Participate in external information meetings on request.  Specific responsibilities Meet and greet visitors, maintaining contact details of key actors; Close liaison with the Communications Officer including media contacts; Ensure confidentiality of all communications (verbal, written and electronic), respecting the sensitivity of certain information; Review donors’ websites and funding opportunities on a regular base and inform General Manager about them. Should be able to develop small to medium reports, concept notes, proposals, as needed.  Competencies Experience working with administration and secretarial tasks Excellent minute taking skills, with ability to follow rapid conversation Previous experience from working in NGOs is a plus. Very good knowledge of English and Arabic, French is a plus. Strong ability in using Microsoft Office application Very good oral and written communication skills Ability to multitask Organized and detail-oriented Working with people Planning and delivering results Communicating with impact and respect Confidential and professional Dependable and trustworthy
