Education Project Assistant

SCOPE OF WORK:The Project Assistant will be responsible for helping in the establishment of educational programming in North Lebanon and Bekka. The scope of work includes: Maintaining smooth and efficient filing systems for the national office-this will primarily include the collection, coordination and distribution of attendance sheets for teacher volunteers in 85 ITS locations every month for volunteer payment Coordinating and contacting the two education field offices for national support in procurement, supply chain, human resources, finance, monitoring and evaluation and general operations Maintaining smooth office operations, ensuring that necessary office equipment, tools and supplies are available Supporting coordination and office communications Communicating with procurement, human resources and finance for project operations support Written and oral translation of English to Arabic/Arabic to English (documents and translation in working group meetings) Who this position reports to:  Education Coordinator RESPONSIBILITIES: Coordination and consolidation of monthly volunteer teacher attendance sheets for approximately 85 volunteer teachers-verification of attendance with field staff, coordination of payments with finance, follow up on payments with field staff Office environment maintenance: ensuring that meeting rooms are booked, transport is booked, files are maintained in a clear and concise manner, and the education senior management’s administrative tasks are handled in a reliable and consistent fashion Filing and Documentation: developing and maintain a transparent and easy to access filing system for office documents (HR, supply chain, finance); taking and typing meeting minutes for internal and external meetings as necessary; assisting with the organizing and maintenance of monitoring and evaluation records Inventory: maintaining inventory lists and working with supply chain to make sure the national office and field offices are supplied with essential goods General administration: providing support to ensure general administrative duties related to the project are covered; supporting communication with external partners to ensure that relevant information is provided in a timely fashion Program support: ensuring communication with operations areas (Human Resources, Supply Chain, Finance) and following up on project-related paperwork and coordination Translation and interpretation: providing written translation from Arabic to English and English to Arabic for project support documents (including technical education materials), as well as for general office documentation. Providing interpretation from English to Arabic and Arabic to English for external education meetings and working groups Professional Standards While working on an IRC project, you are required to adhere to THE IRC Way Standards for Professional Conduct and the country employment policies. REQUIREMENTS: Experience in working with administration or supply chain management a plus, with a focus on financial coordination/payments Working experience in NGO a plus Personal qualities: Team player, flexible, network-builder, able to handle pressure, enjoying working in the field Fluency in written and spoken Arabic mandatory English speaking is a plus   Travel and other requirements: The position will be based in Beirut, with some travel required between the governorates and the main IRC office in Beirut.
