Human Resources Assistant

Role and Responsibilities Working as an important member of a diverse team who are committed to serve the world’s most vulnerable with practical and compassionate care, the HR Assistant supports many of the admin and HR activities of the programme. On a day-to-day basis the HR Assistant carries out a variety of HR and administrative functions required to ensure the human resource needs of the programme are met and that all related policies are carried out and recorded with integrity and in accordance with donor, HQ and field guidelines. Medair Medair brings life-saving relief and rehabilitation in disasters, conflict areas, and other crises by working alongside the most vulnerable. Medair has been working in Lebanon since 2012, supporting Syrian refugees with shelter and distributions programmes, health services, GIS mapping and site improvement activities. Key Activity Areas Human Resources Support the Finance and HR team in ensuring all national and international legal requirements relating to employment are adhered to, including contracts, statutory deductions, record keeping Manage casual labor rotations for all project and support teams, efficiently tracking workers, paying them on time and assuring teams are constantly training up new casual labors for the more skilled tasks on teams. Support line managers and Finance and HR Department as required with HR activities in areas such as recruitment, induction, training, appraisals, disciplinary action, etc.  Administration Ensure a clear and transparent paper trail is adhered to for all financial transactions and HR activities and that all filing and archiving is in line with Medair and donor requirements which follows international accounting standards.  Finances and Accounting Able to carry out the basic day-to-day accounting functions of the programme as to cover for Finance Assistant Work with PSM and Finance Assistant to:           -      Gather necessary data from HR/Admin in the field location and finalize inputs for monthly payroll, such as sick and annual leave days, and help finance schedule salary and other related payments as needed.           -      Prepare for and support internal and external admin/HR audits, providing all information required by local legislation, donors, HQ or other bodies. Communication Maintain open and frequent communication, where applicable, with the Finance and HR Manager and field management Ensure colleagues are informed of the required finance and HR procedures, be available to answer finance and HR related questions and to provide coaching and guidance as necessary Specification Certificate in business administration and/ or human resources University degree in relevant subject 1 year work experience in a human resources 2 years of experience in humanitarian/ NGO setting (preferred) Able to translate between Arabic and English Comfortable with MS Office package, experience with accounting/ payroll software an advantage Enjoy a challenge and works hard to achieve objectives Able to prioritise work tasks to meet deadlines Creative, open-minded, flexible, self-learner, Excellent attention to detail, organised, structured
