RESPONSIBILITIES AND TASKS DESCRIPTION
The "Field Assistant" will be required to:
Undertake extensive field work assisting program staff in implementation process of trainings.
Work in close cooperation with Senior Program Coordinator in the overall implementation of trainings/ workshops/ events.
Plan, organize and lead the bid solicitation process including drafting and issuing needed documents, quotations, bid evaluation process and guiding clients on processes involved;
Prepare all necessary logistics for the implementation of vocational training workshops and ensure completion on time.
Prepare Requests for Quotations, collect bids from vendors, evaluate bids and recommend best options.
Develop regular status reports, updates and other documentation on component activities as needed.
Ensure that a transparent and responsive procurement process is implemented according to IRD standard procurement policies and procedures.
Assist in monitoring process of trainings in daily basis.
Communicate effectively with vendors and maintain excellent working relations with all members of staff and beneficiaries.
Maintain routine communication, coordination and planning with the relevant field and program staff.
Work closely with the Field Officer and Senior Program Coordinator in developing the schedule for field visits, dispatch plans for implementing the events.
Understand the vocational training materials.
Report to the Senior Program Coordinator.
Maintain an updated database of all vendors information.
Keep proper filing system up-to-date.
Assist in conducting research as required.
Work with discretion, confidentiality and transparency; to be fully compliant with IRD policies.
Maintain ethical and professional working relationships with vendors.
Perform, upon request, any other activity that may be necessary as requested by the project.
Selection criteria/Qualifications:
Excellent communication skills (oral and written) with ability to work effectively with colleagues at all levels.
Significant background on field, procurement and logistics.
Ability to work regularly in different areas in Lebanon.
Ability to work on a number of different tasks simultaneously, respecting deadlines and keeping colleagues updated on progress.
Attention to detail; and accuracy of information.
Strong planning skills and organization skills.
Good interpersonal skills and ability to work as part of a team, as well as independently.
Flexible and able to work effectively with a wide range of people in a confident, friendly and tactful manner.
Good computer skills (Word, Excel, Powerpoint, etc.).
A driving license (a must).
