Admin. Assistant

RESPONSIBILITIES / DUTIES:   Assist the Program Manager in daily activities and administrative work in the office. Collect and review staff monthly time sheet and track employee annual leave and sick leave. Prepare daily staff attendance sheet, vehicle log sheet and vehicle fuel coupons. Supervising general administrative of the office. Manage office’s petty cash. Purchase stationary and other items as per instructions. Checking all vendors, suppliers, Syrian refugees and contractors on EPLS and UN checking system prior to processing any related payments. Ensure proper Book-Keeping of inventory. Other duties as assigned. Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Provides information by answering questions and requests. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
