Secretary

Job Description Main Tasks, Duties and Responsibilities involve Clerical and Administrative support, including but not limited to:   Liaising with staff of all offices and external contacts: Answer, screen and forward telephone calls, messages, and email enquiries in English and Arabic. Greet and deal with office visitors. Arrange internal and external meetings and appointments.   Clerical Duties: Prepare letters documents and emails in English and Arabic. Scan, email, fax and photocopy documents. Order and maintain stationery and equipment. Sort and distribute incoming post; organize and send outgoing post, including express delivery services. Create, maintain and update filing system, databases, records, spreadsheets and presentations. Organize, file and store paperwork, documents and computer-based information. Support in the organization of events or external visits (e.g. booking of workshop facilities, catering, transport, hotels, etc.). When required, attend meetings and take minutes.   Multilingual Support: When required, interpret in meetings (English-Arabic and vice versa). Translate documents, letters and emails to and from English and Arabic.   Administrative Support: Handle Petty Cash. Check Receipts. Support in the preparation of payments and payment receipts (through cash, checks or transfers). Support in administrative tasks such as preparation of salary sheets, drafting of contracts, etc.     Minimum Qualifications and Requirements: Experience 2-3 years proven experience in same or similar position.   Education Bachelor or College Degree Professional Secretarial Qualification is an asset.   Languages Excellent proficiency in verbal and written English and Arabic. Knowledge of French is an asset.   Skills                                                                                                                                          Excellent verbal and written communication skills in English and Arabic. Excellent IT skills (focused but not limited to the use of Microsoft Office Package – Word, Excel, PowerPoint, Access). Excellent word processing and typing skills in English and Arabic. Proficiency in spelling, punctuation, grammar and other language skills in English and Arabic. Knowledge and confident use of administrative and clerical procedures. Excellent organizational and time management skills, multitasking capacity, flexibility, cooperativeness and capacity to work under pressure. Attention to detail and presentation. Pleasant telephone manner. Reliability, honesty, discretion and confidentiality. Driving license is an asset.
