Job Purpose Summary
Support the Admin and HR department in Lebanon with administrative and HR routines and take responsibility for the daily practicalities of the field Office.
Key Responsibilities
Administration:
Admin Focal point in the field office
Draft and follow up Lease agreements in coordination with field Logistics and Admin/HR coordinator in Beirut
Keep contact list for field office staff updated at all times
To make translations to-from English-Arabic and general correspondence in English and Arabic
Send and receive Emails on daily basis. Dispatch of Memos, Emails, or other announcements internally and externally.
Attend meetings on request to take down minutes and be capable of editing, typing and circulation to participants concern.
Handling and filing original and hard copies of all required documents for administration and all projects according to NRC filing key
Assist in any administrative matters
Human Resources:
HR Focal points in the field office
Responsible for records of Leave days, sick leaves and overtime for the field staff. Monthly Reports to HR Beirut
Focal point and support PM/FM in recruitments of new staff (short listing, interviews, communication with HR Beirut etc)
Follow up of National staff check list in the field
Ensure, coordinate and facilitate the on boarding of new staff in field offices. Conduct NRC Lebanon Induction Package
Compile and follow up staff documents to be sent to Beirut office for filing (ID cards, insurance cards, NSSF papers, CVs, signed contracts …)
Follow up Insurance and NSSF issues for field office
Support in implementation of HR policies and procedures in compliance with NRC guidelines on the field level
Fulfill any other related tasks that may be assigned by the FAM or CD.
Supervisees:
Coordinate the work of the office keeper.
Qualifications and Competences
Academic and Professional Qualifications
Ordinary National BA in Business Administration or relevant field
HR diploma/certification is a plus
Relevant Experience
Minimum of 1-2 years of relevant work experience
Knowledge, Skills & Personal Attributes
Good communication and interpersonal skills
Strong organizational and team working skills
Good cultural awareness and sensitivity
Highly approachable, trustworthy and confidential
Very Good English Language level
Knowledge of the NGO operations and the dynamics of the humanitarian sector is a plus

Good computer application skills in Microsoft Excel, Word, PowerPoint, database and network communications.
