Logistics Assistant - Beirut

  DRC Background The Danish Refugee Council (DRC) is a humanitarian, non-governmental and non-profit organization, founded in 1956, that works in more than 30 countries around the world. DRC has been operating in Lebanon since 2004, working with Palestinian and Iraqi refugees, as well as Lebanese communities affected by the war in 2006. DRC is committed to basic humanitarian principles; including impartiality and neutrality, and offers the highest standards of accountability to the people it serves. DRC Lebanon has been assisting the Syrian displaced, fleeing Syria into northern Lebanon, since May 2011. This assistance has come through the provision of food and non-food items, various outreach activities (registration, follow-up and awareness sessions) rehabilitation of collective shelters and the implementation of quick impact projects. DRC is inviting local candidates to apply for the position of Logistics Assisant - Beirut to support its activities. Job Purpose The Logistics Assistant is responsible to the Logistics Officer for supporting improvements in all logistical functions including fleet management, assets, and communications. This includes assistance in providing technical support and planning support to future initiativJes to increase the in-country logistics capacity. This requires a highly motivated and detail solution oriented individual who will be able to resolve operational critical challenges as they arise.    Key accountabilities   Fleet Management Assist with the maintenance of the  daily vehicle movement schedule and records and assigning of all mechanical transport as required and provide a daily movement schedule by the close of business the previous day.  This includes the scheduling of on-call night and weekend drivers if necessary. Ensure that all vehicles have log books, and that all drivers or staff with driving privileges are filling them every journey. Any car without log book or sheet is not to be used. Ensure that all fleet nationwide has up to date paperwork and maintenance schedules, following up with rental companies to ensure compliance. Ensure that all drivers are properly licensed and all vehicles have spare tyre, first aid kits, emergency tool kit, emergency contact numbers, internal vehicle numbers and DRC branding. Ensure that DRC Fleet Management standard operating procedures are enforced, in line with the DRC Lebanon vehicle policy. Liaise with Admin personnel to provide pick up and drop off support to incoming and outgoing staff and guests from arrival and departure points Ensure that any out of hours arrivals are communicated to the logistics officer for taxi bookings Assist in the transporting materials or people to and from Beirut office to locations around Beirut city in accordance with DRC rules and regulations.   Asset Management Ensure that all assets old and new are properly recorded and tagged. Keep the asset register, asset cards and personal issue forms up to date with information of where each asset is/who it has been issued to. Send an updated asset register to the Logistics Officer on a weekly basis. Assist in the management and disposal of assets in accordance with DRC and donor guidelines. Person Specification Essential Experience in working with tracking of assets or equivalent. Experience working with administrative systems. High computer literacy level with expected proficiency in Word, Excel, PDF, Photoshop and Internet. Experience with fleet or vehicle management. Used to working in busy, stressful environments. Experience of building and developing the capacity of logistics staff through the use of training, performance management frameworks and development plans Excellent interpersonal and team skills Fluency in written and spoken English is a must. Commitment to and understanding of DRC’s aims, values and principles   Desirable Experience with auto mechanics or electrical installations. Experience in customer services. Ability to speak other international languages. Relevant qualifications or training courses.
