Assistant Support Service Administrator

Purpose:  To support and assist the Project Manager and team in human resources, administrative and procurement tasks as per World Vision policies and procedures  Major Tasks:  Handle Human Resources tasks  Assist in contacting consulting firms and collect CVs or proposals for trainings of staff and local partners and for other services as needed in close coordination with the Human Resources Department and in compliance with the procurement policy. Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature. Keep a database and contact details for universities and venues in the area. Support in employee orientation sessions with close coordination with the Project Manager and the HR department. Keep an updated list of the area team’s leaves, vaccination sessions and vacations and send updated balances and forms to the HR administrator Update the relief directory and send it to the HR department on a monthly basis. Check trends in the team’s attendance and report to the Project Manager accordingly sending an updated list on a weekly basis  Handle the Project Administrative tasks  Ensure the confidentiality of documents. Ensure kitchen and stationary supplies are ordered in a timely manner and make the purchases. Assist in all logistics tasks related to training and events in coordination with the Project Manager   Handle project Procurement needs Prepare Purchase Request Forms for all assets, services, office supplies purchases whenever needed.  Contact suppliers and make purchases as requested..  Track and follow up on PRF approvals.  Ensure that the procurement processes are well understood by the team  EDUCATION / SKILLS REQUIREMENTS: University degree in a field related to business administration KNOWLEDGE AND SKILLS Good interpersonal and communication skills Good organizational and Time management skills Computer literate with a high degree of proficiency and productivity Good  written English At least one year experience in a similar job  Work Environment:  100% Office work  EMPLOYMENT TYPE: Full Time – Contract
