The Danish Refugee Council (DRC) is a humanitarian, non-governmental and nonprofit organization, founded in 1956, that works in more than 30 countries around the world. DRC has been operating in Lebanon since 2004, working with Palestinian and Iraqi refugees, as well as Lebanese communities affected by the war in 2006. DRC is committed to basic humanitarian principles; including impartiality and neutrality, and offers the highest standards of accountability to the people it serves.
DRC Lebanon has been assisting the Syrian displaced, fleeing Syria into northern Lebanon, since May 2011, and the Bekaa valley since February 2012. This assistance has come through the provision of food and non-food items, various outreach activities and rehabilitation of collective shelters. DRC is inviting local candidates to apply for the position of Admin/HR Officer - Baalbek, to support its activities under the project "Emergency Response for Displaced Syrians in Lebanon".
The Admin Officer supports the main Lebanon office in Beirut with both ad hoc and continuous tasks, constantly coordinates with line managers and relevant colleagues, and supervises the daily work of the Admin Assistant as indicated below:
The Admin Officer supports the office in Zahle with both ad hoc and continuous tasks, constantly coordinates with line managers and relevant colleagues.
General Responsibility:
Organise the daily/weekly/monthly Administration plan, in coordination with the Finance & Admin Manager
Receive/forward/file correspondence, reply to emails and letters as per instruction
Supervising general administration of the office in Zahle – Lebanon
Follow up on staff leave and vacations, and report monthly about leave balances
Maintain admin files as per DRC guidelines
Specific Responsibilities:
To proactively identify broader issues of Admin weakness/non-compliance to DRC policies and guidelines and report them to Head of Admin
Ensure all Administration files are complete, correct and have the relevant signatures
Keep soft and hard records of all Admin contracts (rent, services..)
Follow up on staff time sheets and donor allocation
Organize and oversee all special Administration of the operations as, and when the situation arises
To monitor the travel-related issues accordingly with the Admin team (taxis, tickets, accommodation, visas..)linked to meetings, trainings, workshops attended or organized by DRC Lebanon in Beirut or elsewhere
To assist the Admin Department in preparing the admin files by scanning, recording and filing
To assist in the preparation for the admin reports
Managing use of items and other equipment among staff, keep records of staff equipment handed over to them by DRC
To share and coordinate the admin information with the operation, and attend any internal coordination meetings organized regularly with the rest of the staff in Lebanon
To attend the meetings organized by the donors on admin if any
To follow up on the related issue to DRC guesthouse in Zahle
Supervising general administration of the Office in Zahle
Other
Carrying out any other duties relevant to the nature of the job as requested by the Head of Admin or the Finance & Admin Manager.
The Admin/HR officer reports directly to the Finance & Admin Manager.
