Hr/administration Assistant

SCOPE OF WORK: The Human Resources/Administrative Assistant (HR/Admin Assistant) will support the Human Resources Function for the organization and IRC Lebanon staff. The HR Assistant will report to The HR and Administration Officer.   Who this position reports to: HR & Admin Officer   RESPONSIBILITIES: HR Responsibilities:   Liaises with all field offices on issues relating to HR and administrative services Support the recruitment cycle (post vacancies, arrange interviews, maintain a recruitment tracking sheet for all open national positions etc.) Check references for employee chosen for the required position Prepare employee contracts and follow up their on-boarding. Implement and enforce IRCs Global HR Operating Policies and Procedures; and ensure compliance with all labor laws. Support the HR/Admin Officer in all HR documentation and reporting, including but not limited to Contracts, Change of Status forms, leave tracking, time sheets, overtime, exit procedures and payroll preparation.  Participate in review and delivery of HR policies and procedures and make recommendations to improve efficiency and effectiveness. Update and disseminate IRC staff contact lists. Maintain the confidentiality of all sensitive HR information at all times. Other duties as assigned by the supervisor Maintain master leave database and ensure timely update of leave forms, in close coordination with field locations.   Administration:   Support implementation and continuous use of administrative tools and procedures devolved by HQ, ensuring compliance with IRC administrative standards and with local laws and regulations Manages the preparation and maintenance of such reports as are necessary to carry out the functions of the office. Prepares periodic reports for management, as necessary or requested, to track strategic goal accomplishment. Prepare payment request for all contracts. Prepare all office supplies inventory, purchase on a monthly basis. Other Other duties as assigned by the supervisor to enable and develop   Professional Standards All IRC staff are required to adhere to THE IRC Way Standards for Professional Conduct and the IRC country employment policies.

1. University Degree, preferably in management, human resources, administration or related fields.
2. Minimum of 2 years of professional experience in Administration/Office Management
3. Strong ability to work independently, organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail
4. Strong sense of personal integrity.
5. Previous experience with Human Resources and/or previous INGO experience is an advantage.
6. Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well.
7. Fluency in Arabic and English.
