Logistics Officer

CONTEXT The Arab Foundation for Freedoms and Equality (AFE) The Arab Foundation for Freedoms and Equality (AFE) is an officially registered non-governmental organization based in Beirut, Lebanon. AFE focuses its efforts exclusively on Arab states across the Middle East and North Africa (MENA). AFE supports grassroots activist groups and organizations (Regional Partners) that are working on a wide range of initiatives including human rights , gender and sexual and sexual health. AFE provides a comprehensive package of opportunities for Regional Partners. The Social Change Program (SCP) The Social Change Program is a capacity building program organized and implemented by the Arab Foundation for Freedoms and Equality. It is an 18 months long program that includes 8 thematic trainings spread over the period of 10 months and organized in over three Arab countries. In addition to the training component, the program includes additional components such as mentorships and internships. In 2013 the Social Change Program will enter its third year and is therefore developing even further. During the second round, the program gathered 20 participants coming from 10 different Arab countries. The trainings took place in Lebanon (Beirut and Jbeil), Egypt (Cairo), Tunisia (Carthage), and Jordan (Amman). The logistics officer will be hired primarily to provide support in the training component of the program. THE JOB  The logistics officer will be a part-time employee at AFE under the direct supervision of the Social Change Program Director, based in Egypt or Lebanon, and will ensure the logistical support for the program as well as take part in the development of the program. Profile: -      Has a good sense of details -      Good communication and interaction skills (primarily with participants, and agents) -      Enough independence to operate in a regional setting -      Ability to operate under pressure and multi-task -      Does not mind traveling and is not banned from entering any Arab country -      Proven commitment to issues of human rights in general and issues of gender and sexuality in specific -      Excellent Arabic, sufficient English, French is a plus -      Good computer skills including familiarity with Microsoft office software (Word, Excel, Access, etc.), online communication applications (Google applications, Skype, Emails, etc.) -      Capable of managing remote coordination (familiar with online tools and attending staff meetings which will take place on a weekly basis) -      Familiar with organizational security as well as digital and online security (familiarity with back-up, encryption, online safety and security standards, etc.)   Responsibilities: The logistics officer is expected to gradually take on all responsibilities relating to logistics of the Social Change Program, these responsibilities include: -      Coordinating arrival and departure dates with participants and travel agent -      Creating, maintaining and improving various databases relating to the training needs -      Coordinate the provision of venues: contacting hotels or other venues, getting quotations, following-up with reservations -      Quality checks and control: making sure all training requirements are available -      Procurement: including training stationary and equipment for the Social Change Program -      Cash management: for minor payments required during the training -      Financial reporting: managing the overall count of training expenses under the supervision of the program director -      Preparing logistical letters and similar types of papers for participants in each country where a training is taking place -      Presence during trainings for last minute logistical needs -      Traveling is expected almost every month -      Handle program related communication (faxes, phone calls, appointments, etc.) -      Oversee and facilitate program related payments -      Manage miscellaneous training expenses (e.g. participant per diems) and compile and document all related bills and vouchers in preparation for the accountant monthly update on the computerized financial system The logistics officer is also expected to take part in the strategic development of the program under the supervision of the program director, e.g. participate in retreats, as well as other components of the program.
