Procurement-Admin Officer

The Procurement/Admin Officer will work as part of the Logistics dept. The Procurement/Admin Officer will support the Logistics Manager on a daily basis and will report directly in to her/him. The position is based in Beirut but will require field visits on occasions.   General Duties Maintain and edit standard forms used in the procurement process. Act as the main contact point for queries on managed contracts and general procurement enquiries. Take part in the procurement process of materials and services in coordination with the Logistics Manager for all IMC health implemented programs. Ensure Purchase Requests (PRs)/ Purchase Orders (POs) are signed by the relevant Program staff member for initiation. Assist the Logistics Dept. in maintaining of procurement records such as services purchased, costs, delivery, product quality or performance and inventories, keeping commitment accounts and monitoring spend related to health activities. Write reports/memos documenting procurement decisions and prepare justification for contract awards or vendor selection. Provide administrative support to ensure that program operations are maintained in an effective, up to date and accurate manner and communicate this accordingly. Maintain financial and logistics filing systems . Assist with program administrative tasks, financial monitoring and HR duties where required.  Prepare Monthly documentations for doctors, hospitals and all related staff supporting IMC , and insure  PRs, POs, timesheets and all other related paper work is prepared in  an organized filing system .   Health Department Work alongside  IMC Health Department Staff.  Monitor and assist with the logistics and financial internal filing systems. Reporting Report directly on all tasks and      responsibilities to the Logistic Manager providing timely updates as      required.
