MAJOR TASKS:
Contact local consultants or consulting firms and collect CVs or proposals for capacity building trainings of staff and local partners and for other services as needed in close coordination with the Human Resources Department and in compliance with the procurement policy.
Prepare the “agreement to provide services” document and follow-up with related parties on the needed signature.
Develop and maintain a list of universities in the area with contact details for internship or recruitment opportunities.
Collect CVs of interested candidates and short list them with the Area Manager and the Human Resources Department.
Support in developing an employee orientation with close coordination with the Area Manager and the HR department.
Manage the area team’s leaves and vacations and send updated balances and forms to the HR administrator
Update the workforce planning sheet and send it to the HR department on a monthly basis.
Maintain the office administrative files, ensuring the confidentiality of documents.
Oversee office equipment maintenance and vehicle repairs, maintenance and servicing (mechanic) in a timely manner.
Ensure kitchen and stationary supplies are ordered in a timely manner.
Monitor the team’s attendance and report to the ADP/Area manager accordingly
Assist in all logistics tasks related to training and events in coordination with NO office Manager
Oversee the distribution of Gifts In Kind to local communities and partners in a timely and effective manner
Finalize Purchase Request Forms for all assets, services, office supplies purchases at the zonal office on a monthly basis.
Track and follow up on all Purchases that are under the set threshold in the Procurement Policy
Ensure that the procurement processes are properly followed by the area team
Knowledge and Skills
Good interpersonal and communication skills
Good organizational and Time management skills
Computer literate with a high degree of proficiency and productivity
Good written English
Good Knowledge of WVL’s procurement and HR policies
Experience
At least one year experience in a similar job.
Work Environment
100% Office-based
Position may require occasional local travel
Position requires willingness and ability to continue to function during a crisis situation, including during a World Vision response to a manmade or natural disaster at the ADP level.
