Logistics/admistration Officer

The Logistics/Admin Officer will work as part of the Logistics dept. The team currently comprises of; Logistics Manager and the Health Logistics Officer. The main position will support the Logistics Manager on a daily basis and will report directly in to her/him. On occasions the position will be requested by Program heads to carry out specific tasks. This will be in conjunction with or direct knowledge of the Logistics Manager. The position is based in Beirut but will require field visits on occasions. Note the Job Description is subject to change.   General Duties Coordinate formal bids; reviews and assists in development of specifications and terms, schedules opening dates, arranges advertising and maintains files. Maintain and edit standard forms used in bid/BOQ specifications. Act as the main telephone and email contact point for queries on managed contracts and general procurement enquiries. Respond to enquiries concerning criteria for contract award decisions. Take part in the procurement process of materials and services in coordination with the Logistics Manager for all IMC implemented programs Ensure POs are signed by the relevant Program staff member for initiation. Assist the Logistics Dept. in maintaining of procurement records such as services purchased, costs, delivery, product quality or performance and inventories, keeping commitment accounts and monitoring spend. Write reports/memos documenting procurement decisions and prepare justification for contract awards or vendor selection. Provide administrative support to ensure that program operations are maintained in an effective, up to date and accurate manner and communicate this accordingly Maintain financial and logistics filing systems Issues Custodian Sheets for all items allocated to a staff member Assist with program administrative tasks, financial monitoring and HR duties where required by the relevant dept.   Mental Health Department Assist with the mental health & psychosocial administrative tasks, financial monitoring and HR duties, alongside with  Regional Mental Health Coordinator. Work alongside IMC Mental Health Department Staff: In the field, to better assess and ensure that the logistical procedures are carried out effectively. This includes but is not limited to organizing training & event venues, carrying out logistical duties as part of setting up these events, and procuring material as necessary, In the office, to monitor and assist with the logistic and financial internal filing system.   Reporting Report      directly on all tasks and responsibilities to the logistic Manger,      Providing timely updates as required. Report       to Regional Mental Health Coordinator on tasks under Mental health       Department Applicant’s Profile: 2 years of experience working with a NGO in the area of communications/reporting. Creative and innovative. Excellent writing skills. Good communication and writing skills in both Arabic and English . Ability to work in a flexible environment and be willing to travel to various field sites throughout Lebanon at short notice.   Conditions Full working week as per Labor Laws of Lebanon. The salary will be dependent on the experience and skills the successful applicant brings to the position. Local contract. The employee will receive payment for transportation
