I- Summary
International Orthodox Christian Charities (IOCC) is a US-based international relief and development agency established in 1992 by the Standing Conference of Canonical Orthodox Bishops in the Americas (SCOBA). It offers emergency relief and development programs to those in need worldwide, without discrimination. IOCC has been working in Lebanon since 2001 and has more than a decade of experience in implementing community-driven programs that address a broad range of social issues, from relief to community development and education.
IOCC is looking for a Grants Coordinator who will manage the compilation and preparation of project reports, situational reports, proposals, concepts notes, infographics, and other public and internal materials related to IOCC’s response to the humanitarian crisis impacting Syria. H/She will coordinate closely with IOCC country field staff and produce high quality documentation that is compliant with IOCC and donor requirements.The Grants Coordinator will manage the compilation and preparation of project reports, situational reports, proposals, concepts notes, infographics, and other public and internal materials related to IOCC’s response to the humanitarian crisis impacting Syria. H/She will coordinate closely with IOCC country field staff and produce high quality documentation that is compliant with IOCC and donor requirements.
II- Responsibilities and Essential Functions
- Provide grant management support to the IOCC Country Representatives and staff of Syria in order to produce high quality reports, program proposals and project concept notes in a timely manner.
- Manage the compilation of information and data required for the preparation of donor reports based on donor reporting requirements and submission due dates.
- Coordinate closely with the IOCC program staff in Syria on grants and/or related budget analysis and provide technical assistance as needed.
- Support the development of proposals that include information related to project type activity, objectives/outcomes, deliverables, implementation methods, timetable, staffing, budgets, standards of performance and evaluation.
- With the country program team(s) and HQ, coordinate a timetable that establish priorities and target dates for information gathering, writing and review of proposals at the field level; further coordinate with HQ on completing the review process for final approval and submission of proposals at the proposed deadlines.
- Coordinate required inputs from contributors and report on the proposal status to individuals involved in the review process.
- Coordinate the preparation and timely submission of grant applications, amendments, no-cost extensions and related budgets with budget notes for IOCC HQ.
- Monitor, provide input, review, and consolidate grant data as a management tool for grants coordination.
- Prepare reports for donors, using required templates and formats, to report on progress against stated activity milestones, project outcomes, project budget, and lessons learned, etc.
- Include in donor reports documentary evidence of project outcomes, challenges, and lessons learned in accordance with the donor’s requirements and support from IOCC MEAL process.
- Review and comment on evaluation and program monitoring reports and program audits.
- Perform other duties as required.
III. Qualifications
- Knowledge, Skills and Abilities: Field level managerial experience, possess strong organizational and critical thinking skills, experienced in managing multiple programs and large diverse teams, ability to be flexible and adaptable, understanding of local culture.

- Excellent organizational, planning, management and coordination skills, with the competence to organize a workload comprised of varying and changing priorities, tasks and responsibilities
- Excellent English writing skills and experience in proposal writing
- Familiarity and experience with federal funding requirements
- Ability to work independently while collaborating closely with relevant staff
- Problem solving and analytical skills to identify and resolve difficulties related to tasks and responsibilities
- Attention to detail
- Computer literate (i.e. Word, Excel, Outlook, financial systems).
- Cultural awareness and sensitivity to promote relationships that reinforce the participation of all stakeholders in completing tasks
- Patient, flexible, able to improvise and communicate clearly and effectively under pressure
- Working knowledge of Arabic desirable
