Terms of Reference

 

Job Title: Administrative & Logistics Officer

Project Framework: MiyahCon - (MADAD WASH)

Duty Station: GVC Office Kobayat (Akkar)

Line Manager: Area Manager

Responsible for: Logistics and administration of GVC Kobayat office

 

OBJECTIVES:

This is a support function to programme and operations teams.  The post-holder will facilitate Logistics and administrative functions which could encompass a range of tasks that will require skills in prioritising and managing competing demands from a variety of needs.

 

MAIN DUTIES AND RESPONSIBILITIES

 

Administration:

  • Liaise with the Country Administrator in order to manage all GVC contracts, ensuring that payments clauses are respected;
  • Handling all Kobayat’s office payables (Cash payments/Check payments/utilities payments) applying the GVC’s payment procedures;
  • Accurate and organized handling of Kobayat office accountability and petty cash;
  • Maintain organized hard copy files of all documents (correspondence, AoA/MoU, etc.) according to GVC filing system;
  • Maintain organized hard copy files of all contracts according to GVC filing system;
  • Maintain organized soft copy of all computers and schedule periodical backups;

 

Logistics:

  • Maintaining communication with service providers and suppliers;
  • Coordinate with the Logistic & Procurement department in Zahle for the procurement’s processes of Kobayat office;
  • Asset management and maintenance of GVC premises in Kobayat;
  • Ensure that GVC office in Kobayat is fully operational in term of utilities, stationary, furniture, etc.;
  • Monitor fuel consumption of GVC vehicles, manage the vehicles schedule, planning the maintenance in coordination with Logistic & Procurement department in Zahle;

 

Other

  • Cooperate and coordinate with other GVC personnel;
  • Support GVC’s social and technical activities implementation in Akkar;
  • In coordination with GVC National Security Focal Point, be the GVC Security Local Focal Point for the Akkar region;
  • Maintain good working relations with beneficiaries, contractors, authorities and all stakeholder involved in the project;
  • Disposition to realize frequents movements between GVC’s office in Bekaa and Beirut, including overnight;
  • Translate documents and be able to realize simultaneously translation for the international staff during field visits.
  • Any other task not here listed and necessary to the projects and activities;

 

DRIVING LICENSE IS A MUST.

We do not take into consideration the CV without the information about the driving license.

Experience required: 1-2 years in the related field.

Education degree: Bachelor degree

Field education: Bachelor in Business, administration, social science, social work and community development or any related field

Languages: Arabic: Excellent; English: Very good.  

Salary: based in GVC salary scale (Grade 4 or 5) based on experience.
