Position Description
The Logistics Officer is a member of the Near East Foundation team in Lebanon, reporting to the Finance and Administration Manager. The Logistics officer is responsible for arranging the necessary support (vehicle maintenance, office equipment / supplies) and managing associated procedures needed to support the operation.
Responsibilities
The Logistic Officer will:
- Keep NEF informed of any changes in the administrative procedures that can impact NEF’s operations or projects
- Provide advice including evaluation of risk and mitigating measures within program activities
- Supervise the overall vehicle management and ensure the application of NEF Lebanon policies and procedures
- Ensure that weekly checks are made on the vehicles and log sheets are available
- Analyze data on vehicle use and transportation costs, and submit a monthly report to the Finance Manager, with appropriate recommendations
- Ensure that all vehicles are correctly registered, insured, etc., and organize and maintain all required documentation
- Manage the Procurement Process and the Supply Base Efficiently and Effectively to support operational requirements
- Prepare supplier and staff expenses payments in line with payment policies
- Ensure all NEF equipment are safeguarded and maintained appropriately through regular service, as appropriate
- Ensure the office environment is clean, organized, and fully stocked with the necessary materials
- Perform other duties as required
Qualifications and Requirements:
The successful candidate must be a self-directed individual with the following qualifications:
- 2 years of office administration experience in an INGO or international agency
- proven ability to prioritize tasks and meet deadlines
- geographical and administrative knowledge
- excellent communication skills
- strong information technology skills
- fluency in written and spoken Arabic and English. Must have demonstrated ability to effectively write reports and read and interpret documents in both languages
- Demonstrated proficiency with MS Office applications, including Word, Excel, and Outlook
- aware of local market conditions
- Must be eligible to work and reside in Lebanon without sponsorship
