THE ROLE
- Facilitates the procurement activities in the field and assists in overseeing logistics operations in the field and MENA region.
- ESSENTIAL JOB FUNCTIONS
- Assists with daily procurement activities. Prints Purchase Requests Forms and ensures that PRFs are signed per the Authority Matrix. Collects quotations and bids from the market for PRFs, ensuring that vendors use the correct forms and that required documentation of supplies and transactions are completed to IWPR standards.
- Ensures fair competition and strictly adheres to IWPR procurement rules regarding vendor relations and per the business ethics and conflict of interest policy of IWPR.
- Coordinates with Finance to ensure payments are facilitated in a timely manner
- Ensures all documents and trackers are updated and filed for easy retrieval.
- Ensures goods are received in accordance with IWPR standards and originator’s requests. Records any damages or faulty items and arranges to have the fixed if possible/cost effective.
- Prepares payment requests for all assigned procurements of the office and region.
- Assists with asset management. Identifies assets during the course of procurement and ensures that the responsible person for asset register includes in the asset tracker. Properly records and tags all assets and inventory old and new in line with IWPR policies and procedures. Keeps the asset register, asset cards and personal issue forms up to date with information of where each asset is/who it has been issued to. Sends an updated asset register to the supervisor on a monthly basis. Performs a monthly asset check, reports if any assets/inventory are broken, lost or stolen.Receives inspection reports and ensures they are assigned by suppliers.
- Ensures that all IT equipment is functional and coordinates with the IT company on all IT related issues.
QUALIFICATIONS and REQUIREMENTS
- Bachelor’s degree in business or or other relevant discipline.
- Minimum of one year of related experience in procurement and logistics
- A combination of equivalent education and experience
- Fluency in English and Arabic;
- Ability to interact effectively with international and national personnel.
- Demonstrated ability to communicate effectively verbally and in writing;
- Demonstrated ability in using Microsoft Excel to develop and track budgets;
- Ability to prioritize assignments; effectively handle multiple assignments and work independently;
- Ability to work within a team and with staff and beneficiaries from different cultural backgrounds.
- Detail-oriented, well organized and committed to excellence.
- Ability to work in a team setting and stressful program environment are essential.
- Ability to travel in the region when required.
- Demonstrated ability to multi-task and process information into action as to not delay program activities.
- A clear understanding of procurement ethics and donor rules and regulations is essential.
