Scope of work:
- Schedule appointments based on specialists’ itineraries and confirm appointments.
- Book rooms as required.
- Coordinate with specialists and social workers.
- Move beneficiaries through appointments as scheduled and ensure patients are attended to on time.
- Inform specialists of beneficiaries’ arrivals or cancellations.
- Prepare transportation payment vouchers for beneficiaries and pay them their transportation expenses.
- Manage inbound and outbound calls in a timely manner.
- Handle visitors and callers’ inquiries or refer when needed.
- Enter data into computer system.
- Create and manage digital and hardcopy files and maintain filing system efficiently.
- Maintain office security by controlling access to rooms and following safety procedure.
Office management responsibilities:
- Monitor and maintain office equipment, inventory supplies; orders replacement supplies as needed.
- Convey orders of needed material, stationary and equipment.
- Arrange or convey needs of necessary repairs.
- Perform other clerical duties and errands.
