Procurement Officer

The Procurement Officer work involves coordinating and facilitating the acquisition of goods and services. Duties include reviewing requests and authorizing the purchase of commonly used goods and services

DUTIES

  • Review specifications for projects requiring technical or professional services or for complex projects
  • Place purchase orders within limits allowed by organizational regulations
  • Contact local sources of supply, get price quotations, and assist in the selection of vendors
  • Contact vendors to resolve problems with late shipment, damaged items, incorrect products or incorrect prices
  • Follow up and keep track to close any pending request or purchase order
  • Keep accurate records of payment and delivery of goods and services
  • Maintain purchasing files and records
  • Ensure the timely and well documented delivery of supplies to respective Caritas field offices in coordination with the Fleet coordinator
  • Receive the goods as per the description on the purchase order/request. Inspects goods upon delivery and rejects inadequate, broken, lower quality and other items not meeting the requirements of the order
  • Adhere to ISO policies especially related to purchasing

Business Skills

  • Excellent writing and oral communication skills.
  • Ability to organize large volumes of procurement and delivery requirements for a broad range of requirements
  • Ability to handle sensitive and confidential information appropriately
  • Ability to gather information regarding the type and specifics of supplies needed by the organization
  • Ability to establish and maintain effective working relationships with suppliers
  • Must be able to pay strong attention to detail and accuracy
  • Must have excellent organizational skills
  • High level of integrity and ethical behavior is required

 

Computer Skills

  • Microsoft Office-all applications
  • Familiar with record keeping and/or inventory software

 

ACADEMIC EDUCATION

Bachelor degree in Business Administration

 

EXPERIENCE & KNOWLEDGE

  • 2 – 5 years of experience
  • Establish market knowledge for products and suppliers
  • Knowledge of the sources of supply and approved methods of obtaining required materials and supplies efficiently and economically.
