Assistant Finance

JOB SUMMARY
The Assistant Finance reports directly to the Finance Manager (FM) and is responsible for providing support to the FM in financial tasks such as data entry, processing transactions, ensuring all transaction supporting documents are complete and properly filed and reconciling bank accounts entries.

RESPONSIBILITIES AND TASKS

1. Accounting 

Performs three-way match in comparing invoice with purchase order and goods received note before processing any payment.

Ensures that all documents are complete with the appropriate supporting documents, reviewed and approved before processing for payment. 

Defaces all transaction supporting documents with “PAID” stamp.

Reviews transaction-supporting documents to ensure that all are complete and filed accordingly.

Ensures that all payments are made on time.

Follows up on bank transactions to ensure all are processed; files hard copies.  

Ensures that all financial documents are photocopied monthly.

Maintains the finance filing system electronically and hard copies.

Entries daily cash, bank payment transactions, Journal and receipt voucher into ACCPAC.

Produces monthly bank reconciliation statements and consolidates these in hard copy for review by the FO 

Provides support to the FO on other Trial Balance Reconciliations in ACCPAC.

Receives all cash returns on staff advances and deposits it weekly at the bank.

Records petty cash transactions received from the petty cash focal person into ACCPAC.

Conducts spot checks on the petty cash focal person and submits signed petty cash count sheet to the FO.    Supports program staff in payments on the field during activity implementation. 

2. Logistics support 

Work together with the Logistics Officer or Logistics Assistant to ensure assets are labelled and register updated regularly.

Verify items received in store agrees with local purchase orders and delivery note. 

3. Office management

Receives and compiles monthly approved time sheets of staff and sends for FO’s review and onwards submission.

4. Performs other duties as assigned.

Good analytical skill

 2. Technical Skills:

Proficiency in use of Microsoft applications, including Excel, Word
Good skill at using financial software applications
Skilled in maintaining documentation
Good written and oral communication skills
Good knowledge of accounting practice, policies and procedures.
