Purpose of the Consultancy
The purpose of the consultancy is the event management of a two-day Multi-Stakeholder Conference on the topic of the importance of youth participation in decision making processes. The conference will include panel discussions exploring different aspect of the topic by scholars, practitioners, international community and selected Embassy representatives, and youth representatives as well as output-oriented workshop sessions. Expected date is end of January 2019 and venue is Beirut, Lebanon. Language of the conference will be English and Arabic, translation will be provided throughout the conference.
For this end, the consultant is responsible, in close coordination with the responsible project advisor, GIZ team and moderator, to elaborate the audio-visual design and all required processes for smooth preparation and implementation of the conference. As participation and importance of youth is at the core of the conference, this should be reflected in the design (social media, etc). During the two-day conference, the consultant is responsible for setting up the audio-visual inputs and the ascertaining the smooth operation of all relevant audio-visual components of the conference.
Tasks
- Facilitation of all logistical and organizational tasks
- Responsible for all logistical and organizational concerns in the preparation of the conference, including venue, transportation and accommodation of invited guests, lighting, sound system and other technical support issues, etc
- Supporting the moderator in elaborating a multi-channel participation approach for audience at the conference,
- Coordinating and ascertaining abidance to visibility regulations and requirements with all major donors and stakeholders of the conference (in particular BMZ and EU),
- Participate in preparation sessions with the FASPAR team,
- Responsible for the timely preparation of conference folder and PR and info material:
- Conference folder including project brochures, fact sheets, infographics, etc,
- Website and social media posting.
- Facilitation of conference setup and operation of audio-visual input during the conference:
- Facilitate and support the practical setup of the conference design and layout before the start of the conference,
- Facilitate and support the smooth operation of all technical equipment and audio-visual input during the conference.
- Following up on concerns of invited guests.
