Under the direct supervision of the Psychosocial Support Program Manager and the overall supervision of the Emergency Response and Stabilization Coordinator, the Program Assistant will assist the overall management and coordination of IOM Psychosocial Support Program through providing the required operational, administrative and logistic support. More in detail, the Program Assistant will assume the below responsibilities and accountabilities
Operations
- Assist in the organization and the coordination of training programs, workshops and events by assuring all required technical, organizational and logistics support;
- Assist in preparing and compiling training material, presentations, program briefs, press releases, etc.;
- Assist in the organization and implementation of psychosocial support activities in IOM supported Centres;
- Conduct field visits to monitor implementation and progress of the activities, identify shortfalls in delivery and bring them to the attention of the line manager;
- Coordinate with the different levels of the organization such as procurement, logistics, human resources, etc.;
- Assist the M&E system by supporting the development and the analysing of specific assessment tools such as pre- and post-tests, satisfaction questionnaires and quality surveys;
Administration
- Assist in the administrative necessities of the Program, in terms of procurement, logistics, authorizations, bids and program budget monitoring;
- Monitor and track ongoing administrative processes and ensure that all scheduled tasks, including payment of contract instalments, payment of field staff salaries, volunteer allowances, are effectively and timely accomplished;
- Assist in the preparation of terms of reference and other relevant administrative documentations for the recruitment of consultants, trainers, facilitators, interpreters, etc.;
- Prepare informal translation of documents from English into Arabic and vice versa;
- Keep logs (hard and soft copy) of all contracts, invoices, reports, training material, etc. and any other technical and administrative documentation;
- Building and maintaining a contact list with IOM partners, stakeholders, training participants, etc.;
- Draft minutes of meetings, emails, reports and other project-related correspondence.
External communication
- Assist in liaising with IOM international network of experts, MHPSS national practitioners, academics; humanitarian partners, etc.;
- Assist in liaising, coordinating and timely exchanging information with national (including the Ministry of Social Affairs and Ministry of Public Health) and local authorities.

Bachelor’s degree in Psychology, Sociology, Anthropology or a related field from an accredited academic institution. Post graduate studies in the field of mental health and psychosocial support in emergency settings will be considered an asset.
