About the job:
Assist and contribute to the Admin HR, Finance and logistics and Procurement departments in the daily operations work.
Your main duties and responsibilities will be:
- Manage all procurement processes in a transparent, accountable, efficient and cost effective manner.
- Ensure that all procurements are tracked and recorded appropriately to ensure accountability to the donor.
- Maintain accurate filing systems, with documented and supported records of action for audit purposes, and submit monthly logistics reports to the management team.
- Managing suppliers and donors’ contracts and relations in regard with procurement and logistics.
- Ensure all organization’ HR work is done in accordance with the national labor law, as well as the organization procedures.
- Securing and leading the recruitment process while ensuring transparently the selection of qualified staff for the organization (posting job descriptions when needed, collecting CVs, shortlisting, scheduling interviews, dealing with contracts, working hours, etc)
- Managing all staff related matters (timesheets, annual leaves, performance appraisal…)
- Preparing HR memos when needed and support in finalizing procedure manuals for a better performance of the team.
- Ensure confidentiality of all correspondence and operations.
- Provide administrative and logistical arrangements for meetings, workshops, seminars, brown-bags, and speaking engagements for the Office of Innovation by coordinating invites, conference rooms, audio-visual equipment, etc.
- Keep all the admin files by scanning and filing them in an organized manner;
- Follow up on contracts of premises
- Follow up probation evaluations for new staff;
- Assist in the termination process of the staff;
About you:
To be successful in this role we expect you to have a Bachelor in Business Administration, Human Resources, Finance or related business fields.
Moreover, we also expect the following:
Required
- 2 to 3 years of relevant experience.
- Knowledge in financial and accounting principles and practices
- Knowledge in human resources principles and practices
- Preferably to have previous experience working with NGOs.
