Administration & Human Resources responsibilities
- Prepare and manage the attendance records and ensure that these are accurately completed by staff.
- Ensure that contracts, attendance sheets and time sheets are up to date and filed.
- Ensure that new recruits submitted all the personal information’s & documents required for the HR database.
- Ensure that MAG's policies are adhered to.
- Ensure the all offices and accommodations maintain properly.
- Arrange accommodation and transport to staff and guests.
- File and retrieve organizational documents, records and reports.
- May supervise cleaner and guards
- Manage the stationary and cleaning supplies stock and distribution
- Welcome all MAG visitors to MAG and provide information needed.
- Maintain an office filing system for all internal and external correspondence
- Provide translation services (both written and oral) as required
Finance responsibilities
- Perform, at the filed level, accurate and complete accounting, financial reporting and control tasks.
- Handel Petty Cash
- Prepare periderms and daily training forms.
- Prepare SDD forms for international staff when needed.
- Responsible for filed leave payroll preparation
- Assist in preparing all travel expenses.
General
All MAG staff are expected to undertake the following general duties:
- Work towards achieving departmental business plan objectives.

- Keep informed of MAG activities.
- Work as part of a team and liaise with other departments to ensure effective communications across the organisation.
- Ensure familiarity with and adhere to all MAG policies and procedures.
- Contribute to fundraising initiatives where appropriate.
- Ensure confidentiality of information as required by MAG policies and procedures.
- Undertake any other duties appropriate to the post as may be required.
- Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise.
