TASK
Goals / aims :
Under the authority of the Program manager, the Referrals and emergency Program assistant will be responsible for:
- Supervise the emergency response team
- Ensure the timely implementation of the emergency activities, that SOLIDARITES INTERNATIONAL’s quality standards are met and proposes adjustments or developments to ensure relevance if necessary
- Partake in the coordination and collaboration with protection actors
- Ensure referrals and beneficiaries complaints and feedback are properly handled
Task description:
Assessments and project conception
- Participate in the conception of activities
- Participate in the development of emergency response tools
- Participate in the definition of means (human and material) to mobilize for emergency activities
- Participate in the conception of activities
- Participate in the development and update of emergency SOPs
Project Implementation
- Ensure proper follow-up on referrals in collaboration with MEAL department and program staff
- Manage the referrals databases and ensure they are regularly updated
- Ensure good quality of emergency related data
- Prepare out of stock documents for emergency activities and ensure a monthly crosschecking of the stock
- Plan and supervise the distribution of shelter kits, NFI and cash assistance
- Manage the emergency related databases and ensure they are regularly updated
- Make sure the objectives for the activities under his/her responsibility are achieved and the deadlines are met
- Identify and anticipate any risks and constraints related to the emergency activities and propose alternate strategies to the line Manager
- Carry out accountability checklist for emergency related activities
Team management
- Partake in the recruitment of enumerators for emergency related activities
- Partake in the recruitment of distribution officers for emergency distribution activities
- Ensure proper capacity building of the team in regards to emergency related activities
- Plan emergency related activities for teams under his/her supervision
- Manage and support the emergency distribution teams
Monitoring and evaluation
- Partake in the planning and data analysis of emergency activities monitoring
Coordination & representation
- Maintain strong internal coordination with program and support departments, particularly the MEAL department
- In coordination with the Program Manager, participate to the RNA meetings
- In coordination with the Program and Security Managers, maintain proper coordination with municipalities (and other governmental authorities if relevant) regarding emergency activities implementation
Reporting
- Report emergency related results and activities progress to the relevant stakeholders
- Document RNA meetings
- Partake in the updating of tools for monitoring financial, logistical and operational activities
- Share feedback with MEAL regarding status of referrals on a regular basis
- Share feedback with protection actors regarding status of protection referrals on a regular basis
- Ensure the collection and compilation of information about the progress of projects/activities from the team
- Partake in the reporting of emergency related activities on activity into and RAIS
- Partake in the drafting of donor reporting
