- Make sure that all documents submitted are submitted within the timeline set by the regional manager and that all deadlines are respected.
- Familiarize himself with the region expenses per project
- Assist the Regional Manager in managing crisis situations when needed
- In charge of following up on the contact with local and regional partners in collaboration with the Regional Manager (logistics and coordination).
- Attend the CPWG when requested by the regional manager.
- Participate in Protection Working Group and other relevant coordination entities when requested by the regional manager
- Attend regular calls, meetings, etc. required by the regional manager.
- Follow up on the implementation plans submitted by the TL and SCM in the region
- Ensure that the activities in the region are implemented according to the agreement with the donor
- Coordinate with the Regional Manager regarding details related to the target, partners, division of regions or other implementation challenges and submit a monthly report with related information.
- Report on a monthly basis to the Regional Manager.
- Maintain regular communication and visits for project sites to ensure that the project achieves the goal
- Prepare a progress Report quarterly.
- Suggest and request new templates, forms, log sheets, and procedures from the programs and from the project manager that facilitate the follow up on the implementation in the region.
- Participate in the scheduled team meetings set by the Regional Manager
- Prepare the MOM of the bi-monthly team meeting
- Answer all employees concerns regarding any policy or procedure
- Verify that all administrative documents are filled properly and signed by the team members in coordination with the admin officer
- Ensure the organizational induction for new employees (presentation, policies, procedures, laptop, mail, and others)
- Make sure that all new recruits have undertook the technical induction
- Participate in the probationary evaluation for all admin staff.
- Accomplish all tasks required by the Regional Manager
- Assist the regional manager in conducting regional fundraising initiatives in the regions.
- Ensure visibility on the field during activities as per the Communication Department and program requirements
- Coordinate with the IT officer regarding any support needed, and if any problem occurs.
- Monitor All field visits, and conduct at least one monthly field visit to the implementation sites
