Logistics Assistant

Role and Responsibilities

• Assist in preparing the purchases (IOF & IRV) within the entire mission (all offices in Lebanon)
• Assist in the monthly field inventory for assets with staff.
• Assist in ensuring that SIF purchase procedures (Purchase Order form, Quotation) are respected.
•  Assist in updating the list of suppliers.
• Assist in ensuring that purchases are done or that it was forwarded to another base.
• Assist in Organizing the transportation of staff and goods to other sites in collaboration with Logistics Supervisor.
• Check coherence of inventories
• Assist in reception of all materials and check and validate properly the waybills in collaboration with the logistics supervisor.
• Assist in daily checking cars (daily check list, car log book, cleaning…..) with drivers.
• Assist in Following up on water/electricity/fuel /gas supply of the base (Monthly payments).
• Assist in the Follow-up of cars’ movements for staff and drivers.
• Follow-up the good use of the equipment (cars, computers…).
• Calculate and follow-up the monthly consumption of each vehicle(fuel follow up and Millage),
• Document all documents related to Logistics (IOF, IRV, Supplier Purchase order, Reception Note, Contracts).
• Attend and prepare for the weekly meetings with drivers in Beirut and Shouf.
• Assist the Logistics Supervisor in preparing the Monthly Report.
• Assist in collecting quotations.

MINIMUM REQUIRED QUALIFICATIONS

• Education: Bachelor in supply chain, business management or any related field
• Experience: Minimum one year of experience as logistics assistant in an INGO.
• Languages: Advanced in English and Arabic.

• Attention to detail, with an ability to spot numerical errors

• Good knowledge of procurement procedures
• Good knowledge of MS Excel and word skills (creating spreadsheets and creating templates)
