Logistics Assistant

Job Summary                    

Provide logistical support to the country programme

 

Duties and Responsibilities

 

Procurement

  • Process all appropriately authorised supplies requests, ensuring that goods, services and works are procured to the specifications required, within the required timescales, at a manageable price point, and in line Concern policies.
  • Report appropriate procedures for handling stock, particularly when fragile.
  • Report any breakages and spills;
  • Become familiar with specifications and requirements of requested goods and services and seek confirmation from technical staff as necessary.
  • Preparation of advertisement documents, and participation to selection of service providers.
  • Coordinate with suppliers regarding delivery schedules and transportation arrangements and advise relevant staff of the same.
  • Develop and maintain a procurement tracking sheet, and circulate this to departmental managers on a weekly basis.
  • Liaise with department managers on a daily basis to keep them up to date with problematic procurements.
  • Liaise with other NGOs procurement staff to identify new suppliers.
  • Train new staff on logistic procedures.
  • Coordinate with truck drivers or any other service providers on time/date of the services .
  • Participate to the evaluation of the services providers through a set list of criteria.

 

Warehousing and Fleet management

  • With the Logistics Manager, conduct sample stock checks on a monthly basis, and full stock checks on a 6 monthly basis.
  • In the absence of the Transport Manager, take over the transport management function of the office.

 

Other

  • Any other tasks requested.
  • To adhere to the standards of conduct outlined in the Programme Participant Protection Policy and Concern Code of Conduct.
  • To support and promote the standards outlined in the Programme Participant Protection Policy and Concern Code of Conduct to their team, partner organisations and beneficiaries, and be committed to providing a safe working environment.
  • To contribute to the establishment of preventive measures to reduce the potential for abuse in Concern programme (as per P4 section 6).
  • Undertake other appropriate tasks that support the work of Concern in Lebanon as requested.

 

Job Requirements

  • High school diploma or equivalent.
  • Prior experience in Logistics
  • Sound knowledge of procurement processes
  • Integrity and details focus
  • Very good communication and organisation skills
  • Proficiency in use of Microsoft application (Excel, Word)
  • Fluency in oral and written Arabic and English.
