HR/ ADMIN Assistant

Administration & Human Resources responsibilities

  1. Prepare and manage the attendance records and ensure that these are accurately completed by staff.
  2. Ensure that contracts, attendance sheets and time sheets are up to date and filed.
  3. Ensure that new recruits submitted all the personal information’s & documents required for the HR database.
  4. Ensure that MAG's policies are adhered to.
  5. Ensure the all offices and accommodations maintained properly.
  6. Arrange accommodation and transport to staff and guests.
  7. File and retrieve organizational documents, records and reports.
  8. May supervise cleaners.
  9. Manage the stationary and cleaning supplies stock and distribution.
  10. Welcome all MAG visitors to MAG and provide information needed.
  11. Maintain an office filing system for all internal and external correspondence.
  12. Provide translation services (both written and oral) as required
  13. Prepare letters that needed to be send to LMAC, RMAC.
  14. Follow up and distribute the mobile allowance according to MAG Policy.
  15. Regularly update internal administrative documents (telephone directory of staff, service providers, etc.) independently or upon the request of the HR/ Admin Manager
  16. Update and maintain the leave system and ensure appropriate follow up.
  17. Follow up NSSF family allowance, end of service benefits, school allowance.
  18. Assist in preparing all primary information for monthly payroll.
  19. Assist in induction process for new employees.
  20. Assist in updating the employee’s training tracking form and records.
  21. Assist in maintaining the Employee Information Database with correct and up to date information.
  22. Regularly exchange information with the direct line manager.

Essential Requirements

  1. Have at least one-year experience in the HR field and/ or HR training (preferable with INGO’s)
  2. Honest and trust worthy
  3. Multitasking abilities
  4. Have good communication skills and organizational skills
  5. Ability to work under pressure and tolerate short deadlines
  6. Ability to represent the HR/ Admin Department and MAG professionally.
  7. Flexible and adaptable
  8. Very Good English Language (Spoken and written)
  9. Very Good in excel and PowerPoint.
  10. Ability to use the Arabic keyboard efficiently.
