Grants and Communication Officer

GENERAL OBJECTIVE

Under the direct line management of the Grants and Communications Manager and the technical supervision of the Deputy Head of Mission Programs, the Grants and Communication Officer provides key support in the development of concept notes, proposals, reports, and other documents relevant to the programs of PU-AMI in Lebanon.  In constant liaison with the operational and support teams, s/he supports the compilation of all necessary information on ongoing projects and mission developments, in order to report on PU-AMI’s activities internally and externally, with utmost attention to timelines and quality.  The Grants and Communication Officer also supports the design and implementation of the mission communications strategy, and the development of quality communication channels and products.

 

 

ROLE AND RESPONSIBILITIES     

Under the direct supervision of the Grants and Communication Manager, s/he:

  • Supports in the compilation of information relative to program operational progress at coordination level; 
  • Supports the Grants and Communication Manager in the qualitative production of the project proposal and amendment packages, in close collaboration with program teams;
  • Supports the MEAL department in the collection and analysis of project’s data, to ensure the production of comprehensive reports for internal and external communication;
  • Supports in the design and implementation of communication material;
  • Supports the Grants and Communication Manager in the follows-up and mapping of existent and potential local partners
  • Provides thorough context and secondary data analysis to inputs communication and reporting documents.

 

 

SPECIFIC OBJECTIVE AND LINKED ACTIVITIES 

1- SUPPORT DHOM, TECHNICAL COORDINATORS, AND BASE TEAMS IN THE TRACKING, COLLECTION, COMPILATION, AND ANALYSIS OF INFORMATION RELATED TO PROGRAM OPERATIONAL MATTER AND PROGRESS  

  • Follow the implementation of all programs and support the Grants and Communication Manager in the regular update of existing follow-up tools;
  • Participate in the overall mission’s effort for the development and improvement of reporting tools;
  • Participate in the mission’s effort to implement contractual donor guidelines (quality standards, procurement, administration…);
  • Support the Grants and Communication Manager in regular and ad-hoc contextual follow-up and analysis and in the production of reports and communication materials;
  • Support programmatic teams at the base level to prepare and review programmatic documents (reports, manuals, maps, etc.) as well as for other tasks when needed.

2- ENSURE TIMELY PRODUCTION AND QUALITY OF INTERNAL AND EXTERNAL REPORTING AND COMMUNICATION PRODUCTS

  • Ensure the regular update of the reporting schedule and the preparation of reporting templates;
  • Support the Grants and Communication Manager in providing critical feedback on Programs and Support teams inputs in every contractual and non-contractual document produced (reports, success stories, communication materials, etc.);
  • Provide reporting which adheres to and faithfully transposes donors’ contractual guidelines;  
  • Provide an utmost standard of writing and quality to all reporting/documents s/he inputs;
  • Translate internal and external reporting and communication and materials from English to French/Arabic when required.

3- ENSURE QUALITY PRODUCTION OF PROJECT PROPOSAL AND AMENDMENT PACKAGES, IN CLOSE COLLABORATION WITH PROGRAM TEAMS

  • Play a significant role in the preparation of all PU-AMI grant documentation (i.e. proposals, concept notes, amendments, no-cost extensions, etc.), by:
  • Supporting the Grants and Communication Manager in the review and correction of documents and reports produced by technical and operational teams on the bases in due time; 
  • Ensuring that information fits the appropriate format; 
  • Submitting qualitative, and coherent inputs for validation to Line Manager in a timely manner; 
  • Checking that the human, financial and logistics means are in line and coherent in all grant documentation, reports any discrepancies, and participates in the identification of solutions.

4- SUPPORT IN THE DESIGN AND IMPLEMENTATION OF A COMMUNICATION STRATEGY, INCLUDING THE DEVELOPMENT OF QUALITY COMMUNICATION CHANNELS AND PRODUCTS

  • Support the exploration and access of appropriate and effective communication channels and mediums;
  • Design communication products for internal and external documents (i.e. Facebook page, internal newsletter, success stories, articles, etc.);
  • Ensure that communication products and messages adhere to PU-AMI identity, values, and common speech;
  • Translate communication products and materials from English to French/Arabic.

The tasks and responsibilities defined in this job description are non-exhaustive and can evolve depending on the project’s needs. 

 

 

MANDATORY REQUIREMENTS

Language skills:

  • Excellent writing and editing skills in English and French/Arabic. 
  • Excellent interpersonal communications skills in English.

Education degree:

  • Master´s degree in project management, political sciences, international development, public administration, business, social science, or other relevant areas; or equivalent professional experience.

Work experience:

  • Experience in a similar role and/or areas of program development, project management, donor reporting, and grant compliance for an international NGO is a plus. 

Knowledge and skills:

  • Strong experience writing high-quality proposals and reports for major donors;
  • Strong knowledge of the History, Economy, and Political system of Lebanon;
  • Strong understanding of the geopolitical and socio-economic challenges faced by the populations in Lebanon;
  • Experience in creating communication products (articles, success stories, etc.).

Computer skills:

  • Excellent computer skills, including the ability to operate Microsoft Word, Excel, PowerPoint, Project, and database Management software.
  • Skills in GIS and graphic design/edition software is a plus

Transversals skills:

  • Excellent command in writing and editing documents in English and French/Arabic;
  • Proven capacity for analyzing and synthesizing comprehensive information and technical data;
  • Ability to write and edit reports under short deadline;
  • Ability to guarantee effective and timely outputs; 
  • Strong presentation and communications skills for public presentations and communication materials;
  • Ability to work on own initiative and collaboratively as part of a diverse team and manage a varied workload. Self-motivated, flexible, and adaptable to the needs of the team and organization
  • Proven interpersonal skills – team player;
  • Problem-solving and leadership skills;
  • Ability to manage conflicting priorities in personal workload.
