Resettlement Assistant (2 Positions) – G4 – BEY146 & BEY147 – UNOPS Contracts

General Background

A Resettlement Assistant position is typically located at Multi-Country Office, Branch Office or Field Office. Under supervision, the incumbent’s primary role is to assist the supervisor in effective resettlement delivery of a given UNHCR Office in accordance with the UNHCR Resettlement Handbook, UNHCR Manual and relevant policy papers and publications. The incumbent provides important clerical and administrative support to resettlement operations. S/he maintains frequent contacts with the supervisor, relevant colleagues within the same Office to exchange information and discuss issues on resettlement cases. Some limited contacts and communication at a working level are required with Embassy / Immigration Officials of resettlement countries, IOM as well as with other operating partners regarding resettlement virtual selection missions issues.

All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCR’s core values of professionalism, integrity and respect for diversity.

 

Purpose and Scope of Assignment

  • Assist in logistical arrangements of selection missions by resettlement countries; ensure the interview rooms are prepared with the equipment for the virtual interviews, will test the equipment prior to virtual selection missions, coordinate with ICT if there are any technical issues, coordinate with reception center staff to ensure that the refugees are admitted for their interviews, ensure that the rooms are disinfected after each interview, order the food, receive it and check the food bills and distribute the food to the refugees, pay transport money to the refugees and get their signature on receipt of money, check the interpreters attendance and record their hours, collect refugees photos and assist in scanning their documents if need be, call refugees to inform them of their appointments and counsel them on reception measures, and provide any logistical assistance required for virtual selection missions
  • Provide counselling to refugees being interviewed by Virtual Resettlement Selection Missions in relation to interview modality and logistics. 
  • Provide administrative support for resettlement-related activities, photocopy and scan documents, call refugees when requested, pick up resettlement related envelopes received by the reception.
  • Systematically apply an Age, Gender and Diversity perspective in all aspects of the resettlement process; comply with UNHCR policy and guidelines on HIV/AIDS.
  • Assist in mitigating resettlement fraud by reporting suspected fraud.
  • Perform other related administrative duties as required.

 

Monitoring and Progress Controls

  • UNHCR’s resettlement policies and standards are correctly and coherently applied.
  • Persons of concern are made aware of UNHCR’s resettlement procedures and have fair and transparent access to and participation in the resettlement process.
  • Suspected fraud in the resettlement process is promptly reported.

For G4 - 1 year relevant experience with High School Diploma; or Bachelor or equivalent or higher. Experience in logistics and coordination of resettlement missions is an asset.
